Do you want the opportunity to shape the way records and information is managed across Social Security Scotland

Information is one of our most valuable assets supporting the delivery of social security benefits to over one million clients across Scotland. This is a high-impact leadership role at the heart of the organisation supporting the front line delivery of benefits to Scottish citizens by ensuring that information is managed lawfully efficiently and ethically.

As part of the wider Information Governance Team you will be responsible for and lead the organisations records management function ensuring compliance with the Public Records (Scotland) Act 2011 through the development implementation and ongoing review of the Agencys Records Management Plan.

You will develop policies for the effective management of records and information and ensure compliance with these through assurance work.

You will lead a specialist team providing expert advice and acting as subject matter experts on record keeping and the effective use of the Scottish Governments electronic record and document management system eRDM influencing practice across a large and diverse organisation.

  • Lead on the implementation and regular review of the Agencys Records Management Plan and update the Keeper of the Records of Scotland regularly to ensure that the organisation remains compliant with the Public Records (Scotland) Act 2011.
  • Develop maintain and communicate the organisations strategy for managing information and the policies standards procedures and methods necessary to implement the strategy and embed best practice.
  • Provide professional records management advice and support to colleagues and be an ambassador for records management across the organisation.
  • Oversee the corporate file plan on the electronic record and document management system ensuring the structure is maintained and managed in line with business and legislative requirements.
  • Lead on the annual file review process in line with agreed retention arrangements and liaise with the Scottish Governments eRDM Team and appropriate stakeholders.
  • Active participation in sector-wide Records Management professional working groups and maintenance of membership of professional bodies to maintain professionalisation within the organisation and profile across the sector.


Qualifications

Qualifications
A professional qualification or accreditation recognised by a UK KIM professions bodies in either Records Management Information Governance Archives or Library services or a commitment to work towards one.

  1. Extensive experience in establishing and maintaining records management systems including developing policies implementing retention and destruction procedures and managing the secure and compliant preservation of records throughout their lifecycle.

Working Pattern
Our standard hours are 35 hours per week and we offer a range of flexible working options depending on the needs of the role. We embrace a hybrid working style where all colleagues will spend time in either our Glasgow or Dundee offices. There is an expectation of a minimum 2 days per week in your assigned location which will be either Glasgow or you have specific questions about the role you are applying for please contact us.

This role is only available to existing permanent civil servants who have successfully completed their probation period within Social Security Scotland or the broader Scottish Government.
