Job Description:

The Scheduling Coordinator at Ascendant Insurance Solutions is responsible for efficiently managing and coordinating appointments inspections meetings and client interactions within the insurance organization. This role plays a vital part in ensuring a smooth scheduling process for adjusters agents underwriters or service representatives while maintaining accurate records and delivering exceptional customer service. The ideal candidate for this position will be highly organized detail-oriented and capable of handling multiple schedules in a fast-paced environment.

Key Responsibilities:

  • Coordinate and schedule appointments for agents claims adjusters underwriters or client service representatives.
  • Communicate with clients to confirm reschedule or follow up on appointments.
  • Maintain and update scheduling systems calendars and internal tracking tools.
  • Prioritize scheduling based on urgency geographic location and staff availability.
  • Assist with claims inspection scheduling and field service coordination (if applicable).
  • Ensure timely follow-ups and minimize scheduling conflicts or delays.
  • Provide administrative support including data entry documentation tracking and reporting.
  • Collaborate with internal departments to ensure seamless service delivery.
  • Monitor daily appointment volumes and prepare reports for management.
  • Maintain confidentiality of client and policyholder information.

Required Qualifications:

  • High school diploma or equivalent (Associates degree preferred).
  • 13 years of experience in scheduling administrative support or customer service.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office and scheduling software.
  • Ability to work in a fast-paced environment with attention to detail.
