Main Purpose: To provide Administrative support to ensure the efficient functioning of Target support projects.
- To provide administrative support to all staff
- Be the first point of contact for referring agencies and potential clients and provide regular feedback and update the referrer and client
- Respond to all telephone enquiries take messages update support workers and databases accordingly
- Liaise with staff to book assessments
- Record relevant information in databases and produce reports from the database as required
- Liaise closely with external agencies
- Develop an approach to signposting individuals to other housing providers. Develop a rapport and professional relationship with those providers.
- Ensure all correspondence is consistent and uniform produced to a high professional standard.
- Follow equality of opportunity approach to managing accommodation waiting lists ensuring Fair Access Policy is followed.
- To attend the weekly team meeting
- Complete quarterly monitoring returns as required by commissioners.
- Any other duties deemed as appropriate and agreed with Service Manager
- Assist with office duties as directed and day to day office functioning
- Take responsibility for ensuring all electrical technical equipment and components are fully functioning and liaise with external IT Support Service.
Person Specifications
- Familiar with the use of Word Excel Publisher PowerPoint and database systems
- Possess excellent communications skills both written and verbal
- Experience in office administration
- Ability to liaise with a diverse range of people
- Ability to establish and maintain effective strategic relationships
- Minute-taking experience
- Ability to demonstrate a level of flexibility in order to respond to demands and timescales
- Ability to work as part of a team to contribute to set objectives
- Willingness to undertake further training and development as necessary
