Job Summary

You will need:

  • Bachelors degree
  • At least 5 years relevant work experience
  • Excellent written and verbal communication skills in English is required
  • Proficient with office suite software particularly MS Excel Word and PowerPoint spreadsheets and graphics software used in multilateral organizations.
  • Thorough understanding of the role and function of the division/office/department and a good general understanding of the organizations purpose.
  • Good working knowledge of procedures formats and standards relevant in the performance of work.
  • Good understanding of the interactions between different work areas and relevant work flows and their purpose as well as business knowledge of relevant areas.
  • Ability to plan coordinate and work collaboratively with teams as a constructive team member.
  • Ability to work with individuals from different cultural/national backgrounds.
  • Ability to work with minimum supervision and exercise judgment on matters of confidentiality and those requiring urgent attention especially in the supervisors absence.
  • Able to liaise and work effectively with staff within work location and throughout ADB.

Additional Information

This appointment is open to internal and external applicants.

This is a fixed term appointment with option to renew initially for a period of up to 3 years or up to the Normal Retirement Date (NRD) whichever comes earlier for the purpose(s) and conditions determined by ADB in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB based on factors including but not limited to the requirement of Staffs particular blend of skills and experience for the medium-term work program of the organizational unit sufficient funding to cover the renewed period and Staffs performance and suitability for employment. There is no limit to the number of renewals up to NRD. However this appointment is not convertible to a regular appointment.

Organizational Setting and Reporting Relationship

The position of Senior Management Administrative Assistant is assigned to the Office of the Vice President for Market Solutions (VPMS). You will be based at our Headquarters in Manila Philippines.

You will report to the Senior Advisor to the Vice President (Market Solutions).

Your Role

As a Senior Management Administrative Assistant you will provide assistance for the smooth operations of the Office of the Vice President for Market Solutions.

You will:

  • Plan and coordinate schedules independently in order to meet deadlines.
  • Provide efficient administrative services by screening incoming telephone calls taking accurate messages coordinating supervisors schedule arranging for business travels helping prepare documents for supervisors in compliance with ADBs standards and properly logging correspondence and documents.
  • Ensure all documents are processed following existing procedures and guidelines coordinating review of project documents with relevant units in a timely manner and monitoring processing timelines to meet planned approval dates.
  • Support in summarizing the departments submissions to the Vice President.
  • Coordinates various meetings presentations workshops special task forces and other activities with various departments to ensure the concerned divisions are represented by supervisors.
  • Ensures project documents VPMS comments and other communications are properly maintained and filed as appropriate.
  • Assist in collecting background information and conducting literature research on various subjects relevant to VPMS.
  • Serves as back-up to the Executive Assistant of OVPMS.
  • Performs other duties as may be assigned by the supervisors.
