Summary:
Under general direction of the Operations Team Leader the overall purpose of this position is to work proactively as a member of the operations team in providing a customer focused service responsible for:
Performing operational functions effectively and efficiently and in accordance with World Courier Global and Japanese policies and procedures and regulatory requirements which includes:
Preparing and executing customer shipments for air export and import utilizing the companys shipment processing systems and completing regulatory clearances
Monitoring shipments in transit initiating effective action as necessary to rectify issues
Linking with the airlines and World Courier brokers as required
Shipments airlines booking; Controlling our Air freight levels
Assisting with answering telephone calls as necessary
Actively supporting other functional areas of the business as required
Any other duties as directed by the Osaka Associate Manager or Operations Manager
Ensure that shifts - including weekend shifts when applicable - are established in agreement with the Osaka Branch Manager or Supervisor/Operations Manager
Responsibilities:
Export Operations Function
Utilize appropriate company shipment and export processing systems:
Update and finalize jobs
Enter applicable information and charges
Check customer export documents and attach to job
Complete international carriers Master Airway Bill and other associated documents
Complete companys Declaration of Security
Complete and transmit Flight Waybill (Master Airway Bill) (House Air Waybill/House airway bill) information to carrier (if applicable)
Post flight shipments
Ensure all shipments are checked prior to driver delivering to international carrier:
Confirm shipments comply with security and regulatory requirements
Confirm shipments are packed labelled and marked correctly
Import Function
Ensure that shifts -including weekend shifts when applicable - are established in agreement with the Osaka Branch Manager or Supervisor/Operations Manager
Dispatch Function
Arrange for drivers (pickup/delivery)
Check the planned departure or arrival times of flights
Manages the warehouse (packages supplies cooling-media etc)
Check correctness and completeness of consignment during pickups/deliveries
Check the best route available for a timely delivery/pickup
Keeps the assigned vehicle clean inside and outside
Must execute regular pre-trip inspections
Assure that all tasks assigned to driver are fulfilled in a correct and timely manner
Ensue to manager stocks including Phase Change Material conditioning
General function
Constantly monitor operations email
Utilize appropriate company shipment processing system:
Constantly monitor and manage all communication via job notes
Notify consignees of pending shipments confirming import and delivery details
Update jobs by entering appropriate information and charges and attaching all applicable import documents
Organize shipment collections liaising with customers and domestic agents
Acquiring and maintaining knowledge and understanding and always complying with:
Company Code of Conduct and Policies
World Courier global and World Courier Japan policies and procedures relevant to the position
Company security requirements and health & safety system:
Reporting all security breaches and incidents in a timely manner
Taking all practical steps to ensure own safety and the safety of others while at work; reporting all accidents and incidents in a timely manner
Ensure compliance with relevant Work Health & Safety legislation and that any issues are identified and actioned in line World Courier Japan policy
Utilize appropriate company shipment processing system

Experience:
Significant customer service and/or operations experience
Strong international & domestic geographic knowledge
An understanding of Imports and Exports processes and statutory requirements
Sound experience using the Microsoft Office Suite including Word Excel and Outlook
Experience negotiating timelines and pricing with a range of stakeholders
Minimum Skills Knowledge and Ability Requirements:
