The Energy Coalition (TEC) is a California-based 501(c)3 nonprofit with 50 years of experience partnering with communities public agencies private companies educators and policymakers to design and implement sustainability strategies. TEC is seeking a proactive HR Coordinator whos passionate about supporting people and building strong internal systems. Youll play a key role in bringing HR projects to life and ensuring smooth day-to-day operations for our 100 employees across CA and other states. This role is perfect for an organized people-focused professional who enjoys working remotely partnering across teams and contributing to a wide range of HR initiatives. Your responsibilities will focus on supporting a team including but not limited to:
Support the manager with recruitment and onboarding tasks including posting jobs to reach candidate pools conducting screening and coordinating interviews verifying work history and references responding to candidates drafting job offer letters tracking candidate details in ATS (Trackstar Hire)
Support strategies to build a candidate pipeline which may include attendance at career fairs
Support the manager with TEC Teaches training and development activities
Present and organize training materials for employees and explain regulations policies or procedures
Actively participate and contribute to TEC Teaches learning initiatives by acting as a trainer on specific topics providing feedback in the development of learning events/ courses scheduling trainings leading programming and updating training content as assigned
Track and assign required employee trainings to ensure TEC remains in compliance with the law and TEC policies (harassment prevention)
Complete new hire procedures including organizing employee orientation inputting employee data into HRIS coordinating with business operations and supervisor to ensure all employee systems and equipment are set up ensuring all necessary paperwork (I-9 and E-verify) is completed and submitted
Conduct annual review of TECs employee handbook and other TEC policies to ensure compliance propose revisions as needed
Stay abreast of new regulations and identify impacts to TEC policies and practices and manage change to remain in compliance
Coordinate with TECs office administrator to ensure safety protocols and training are up to date
Support the manager to run bi-weekly payroll using TECs HRIS
Reconcile PTO on a regular basis
Respond to staff questions including time submission expense reports etc.
Organize logistics for bi-weekly company-wide TEC Talk video conference calls
Support TEC-tivities employee engagement initiatives to identify and implement activities to boost morale and employee connectivity
Support day-to-day health benefits administration (medical vision dental FSA voluntary benefits) which includes coordination with insurance broker updating employee data in HRIS reviewing invoices and resolving discrepancies and addressing employee inquiries
Provide recommendations Manager regarding benefit plan changes
Support TECs annual open enrollment including HRIS system setup and implementation and employee communications
Add new enrollees to TECs 401(k) Plan and verify employee data accuracy
Support the manager with leave of absence documentation in compliance with local state and federal laws. Tasks include coordinating directly with employees and providing necessary information; completing required paperwork and communications; evaluating leave eligibility and approvals; and coordinating with managers.
Ensure accurate and complete employee data is input into TECs HRIS and maintain records on the server
Conduct new hire setup and employee changes in HRIS
Ensure strict adherence to employee data confidentiality and HIPAA compliance
This position will not handle employee relations issues directly. Employee relations issues will be escalated to the manager
Support the manager with clerical duties related to performance management processes (distribution of templates tracking completion etc.)
This position will not have supervisory responsibilities; however specific HR projects will include working collaboratively with others to complete projects
Maintain positive working relationships
Identify problems before they arise and propose recommended action plans. Understand when to escalate issues to the appropriate party or supervisor
Serve as a company-wide resource and representative for TEC
Bachelors degree in Human Resources or a related field and/or HR certification preferred
Minimum two years of HR related work experience in the areas of recruitment training/ learning & development benefits and HRIS administration
HR competence and knowledge of HR procedures
Strong attention to detail highly organized and skilled at multitasking
Ability to use discretion with confidential information
Comfortable working in a highly visible role
Excellent collaboration skills and ability to establish and maintain interpersonal relationships; Positive and personable demeanor
Excellent oral and written communication skills
Willing to take initiative and work independently and be successful in a remote work environment

Valid drivers license insurance access to a vehicle and willingness to travel to attend meetings and events. This position may occasionally require work outside of regular business hours.
Skilled with Microsoft Office and experience with Google Suite including Docs Drive Slides and Sheets
Proficiency in writing and business correspondence (emails memos company-wide Slack posts etc.)
Experience using HRIS software (Paycom) preferred
Experience using Applicant Tracking Systems (Trackstar Hire) preferred
Familiarity with Zoom or similar video conferencing equipment
Familiarity with Slack or similar communication software
Have an active cell phone plan service
Valid drivers license insurance access to a vehicle and willingness to travel throughout Southern California to attend meetings and events
Ability to work comfortably in a collaborative environment and make high contributions to the team and program in a fast-paced environment

This position can work remotely except when business needs require in-person attendance at meetings and events at TEC offices or customer sites (approx. 1-2 times/month). Hourly Rate: The starting base pay range for this position is $28.37 - $31.25/hour ($59000 - $65000 annually). This hiring range is a good-faith and reasonable estimate of the salary range at the time of the posting and is subject to change. The actual compensation offered will be determined by various factors including a candidates experience education training skills and certifications.
