The Landlord Supports Specialist supports the successful participation of property owners and managers in the Time Limited Subsidy program. This role is responsible for onboarding new residential property partners verifying ownership documentation and maintaining accurate and up-to-date records in platforms such as Padmission Journey and Padmission Connect. The Landlord Support Specialist serves as a point of contact for property partners providing technical assistance coordinating updates and transitions and ensuring that all information is complete and in compliance to support efficient and timely rental assistance payments.


Primary Job Responsibilities

Property Engagement and Program Support

  • Guide new property owners/managers through the onboarding process including documentation submission and program orientation.
  • Verify ownership details against assessor databases and review property management agreements.
  • Provide technical support to property owner/managers using Padmission Connect and ensure users can update property listings contact information and vacancies accurately.
  • Maintain ongoing communication with property partners to support participation and answer inquiries related to platform use documentation or program requirements.
  • Collaborate with internal teams to address discrepancies and facilitate seamless updates that ensure property payment readiness and adherence to compliance requirements.
  • Attend outreach events or meetings as needed to promote engagement and system literacy.

System Management and Data Integrity

  • Build and maintain records for property ownership management and entities in both Padmission Journey and Padmission Connect.
  • Upload organize and manage required ownership documentation for each owner/manager and property entity.
  • Process changes in ownership and property management to ensure continuity in account access and accurate payment processing.
  • Monitor property-related data for completeness and accuracy in system platforms.
  • Ensure all owner/manager and property profiles meet documentation requirements.

  • Demonstrated expertise in property management and housing programs with the ability to assess maintenance needs engage landlords and support housing stability through informed customer-focused service.
  • Excellent attention to detail and ability to manage high volumes of data and documentation.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Skilled in using and troubleshooting software platforms and providing support to external users.
  • Clear and professional written and verbal communication skills for engaging with both internal and external stakeholders.
  • High-level interpersonal skills to collaborate effectively and build relationships with various stakeholders.
  • Strong sense of ownership and accountability for work processes and outcomes.
  • Advanced problem-solving skills and adaptability in a fast-paced mission-driven environment.

Other Requirements

  • Must pass a financial background check with no findings that impact the ability to fulfill compliance and role responsibilities.
  • This role will have access to sensitive data including Personally Identifiable Information (PII) and Protected Health Information (PHI) and must adhere to HOM Security and Privacy Policies.
  • Team Member may use or disclose PII or PHI through the course of their financial duties listed above. All use and disclosure is subject to procedures outlined in Section 1.10 of the HOM Privacy Policies.
  • Must demonstrate HOMs core competencies: Emotional Intelligence Expertise Ethics and Excellence.
  • Valid California drivers license and up-to-date automobile insurance.
  • Willingness to perform other duties as needed or assigned.
  • Must be able to travel locally as needed for events training and site visits.
  • Ability to lift to 30 lbs. on a regular basis.

Education and Experience

  • High School diploma or GED equivalent required.
  • An associate or bachelors degree in business human services public administration or related field preferred.
  • Minimum of two (2) years of experience in housing-related roles such as landlord engagement affordable housing programs or customer-facing support.
  • Minimum of five (5) years of experience with residential maintenance operations or property management specifically involving maintenance oversight and cost assessment.
  • Knowledge of LAHSA programs housing subsidies or landlord incentives is desirable.
  • Equivalent combination of education and relevant experience may be considered in lieu of a degree.
