Overview
The Receptionist/Facilities Coordinator will be responsible for staffing the Shionogi Welcome Desk acts as an Operator for external calls and greets visitors. The Receptionist/Facilities Coordinator will also assist the Facilities Manager with various tasks including stocking the kitchen sorting/distributing mail and packages setting up/breaking down conference rooms for meetings and more. This role will also serve as support to HR and Talent Acquisition. The ideal candidate is enthusiastic highly organized and flexible. The hours for this role are 8am-4pm Monday through Friday.
Responsibilities
Receptionist/Welcome Desk
- Greet visitors and assist with their check-in through the Envoy Registration System
- Liaise with Corporate Communications and act as Operator for external calls
Facilities
- Purchase and maintain office and building supplies
- Assist with incoming and outgoing mail including receiving sorting delivering and sending of mail and packages
- Help keep kitchen/meeting room areas clean and stocked with supplies
- Other general office/facility duties as required
HR/Talent Acquisition
- Act as a backup to HR Coordinator to:
- Schedule candidate interviews (via Teams and in-person) and send confirmations
- Arrange candidate travel logistics and manage candidate expense reports as needed
- Post jobs in our applicant tracking system and on external job boards
- Maintain ATS candidate records and keep data current
- Act as candidate host and provide assistance with set-up of panel interviews presentations and organized lunch
- Gather and submit all Sunshine Act Data to Compliance department as needed
- Assist HR Department as needed with special projects and ongoing support

Minimum Job Requirements
- High school diploma or general education degree (GED) and previous receptionist facilities or related experience in a corporate office environment
- Ability to prioritize tasks and handle numerous assignments simultaneously
- Microsoft Office is required (Word Excel PowerPoint and Outlook)
- Ability to be at onsite at our office 5 days/week required
Preferred Skills & Experience
- Experience in a corporate environment managing many tasks at once
Additional Information
The hourly rate for this position is $25 - $32. Individual pay is determined by several factors which include but are not limited to: job-related skills experience and relevant education or training. The range does not include the comprehensive benefits bonus applicable allowances or any additional compensation that may be associated with this role.
