POSITIONSUMMARY:
The Executive Assistant position supports the work of the YMCA ofCollier County Inc. a leading not-for-profit organization committed tostrengthening the communities in Collier County through its core focus areas ofYouth Development Healthy Living and Social Responsibility. The Executive Assistant provides high-levelconfidential and strategic administrative support to the President/CEO. Thisrole is essential to executive operations fundraising support volunteerengagement and organizational Executive Administrator serves as a trusted partner and liaison toleadership the Board of Directors donors volunteers and communitystakeholders while advancing the YMCAs mission.

ESSENTIALFUNCTIONS:
Executive Leadership Support
Servesas a trusted liaison between the CEO board members senior staff volunteersand community partners.
Providecomprehensive administrative support to the President/CEO and Director ofDevelopment.
Serveas a connector between the President/CEO and directs reports by facilitatingthe flow of information priorities and follow-up.
Prepareagendas briefing materials presentations and correspondence.
Tracksand supports CEO priorities tied to the strategic plan capital projects majorfundraising and community initiatives.
Attendcommittee and board meetings with CEO and other meetings as directed.
Anticipatesneeds flags risks and ensures follow-through on commitments.
Modelsprofessionalism kindness and discretion.
Handlesconfidential matters with discretion professionalism and sound judgment.
Helpmaintain a welcoming organized mission-aligned environment.
Representsthe President/CEO internally and externally as appropriate.
SupportHR functions such as onboarding offboarding compliance of documentation andstaff communications.
Ensuresmooth internal workflows and consistent processes across departments.
Cross-Functional and Team Support
Helpsmanage information flow between teams.
Assistswith project tracking and follow-through.
Createa system and help manage information flow between teams.
Assistswith project tracking and follow-through.
Providesbackup administrative support across departments
Board of Directors and VolunteerLeadership Support
CoordinateBoard and committee meetings including Development-related committees givingdirections to the Development Assistant as needed.
Prepareand distribute materials record minutes and track action items.
Maintaingovernance records and support Board onboarding and engagement.
Development Fundraising and EventSupport
Provideadministrative and logistical support for fundraising initiatives andvolunteer/donor engagement.
Coordinatealong with Development Assistant for donor meetings materials and follow-up.
Supportfundraising events including evenings and weekends as needed.
Volunteer Recruitment and Management
Supportrecruitment onboarding and coordination of volunteers for events communityoutreach (ex. bread run) YREADS and other programs.
Serveas a primary point of contact for volunteers.
Maintainvolunteer records and assist with recognition and retention efforts.
Organizational and Strategic Support
Assistwith tracking executive priorities and strategic initiatives.
Compilereports summaries and dashboards for leadership review.
MaintainBoard portal.
Office and Operations Management
Manageexecutive office systems and workflows.
Ensuresupplies and office is properly maintained. Coordinate and order staff businesscards uniforms and name badges.
Coordinatetravel expense reporting and administrative budgeting.
Identifyprocess improvements to enhance efficiency.

QUALIFICATIONS:
Bachelorsdegree or equivalent experience.
5-7years of executive or senior-level administrative experience.
Experiencesupporting fundraising volunteer coordination or Board operations.
Exceptionalorganizational and communication skills.
Abilityto manage confidential information with discretion.
Abilityto speak any language in addition to English may be helpful.
Abilityto relate effectively to diverse groups of people from all social and economicsegments of the community.

Thenoise level in the work environment is usually moderate.
Onsiteattendance is required for this position. Core work hours are Monday-Friday9-6pm with occasional evenings and weekends to support events meetings andcommunity engagement activities.
