Overview

We are seeking a detail-oriented Project Controls Coordinator to support multiple capital and maintenance-related projects. This role partners closely with project leadership and procurement teams to manage purchasing activities documentation system workflows and issue resolution throughout the project lifecycle. The ideal candidate is organized process-driven and comfortable working across multiple stakeholders in a fast-paced onsite project environment.

Key Responsibilities

Partner with project teams and procurement stakeholders to identify material and service purchasing needs across active projects
Create track and manage requisitions for project-related materials and services
Support change order requests ensuring documentation is complete and accurately reflected in purchase orders
Assist with purchase order and invoice discrepancies by coordinating with vendors project teams and and accounts payable
Support vendor setup requests and changes in coordination with procurement and category management teams
Monitor requisition-to-purchase order conversion timelines and confirm purchase order receipt with vendors
Review project documentation to ensure scope cost and approvals are accurate and aligned with internal procedures
Support project teams in identifying and resolving system-related errors within SAP or similar ERP / maintenance systems
Assist with project closeout activities ensuring financial and documentation requirements are complete
Provide general administrative and analytical support to project leads and coordinators as needed

Required Qualifications

Legally authorized to work in the United States
High school diploma or GED
3 years of experience working within SAP or a similar maintenance or ERP system
Intermediate proficiency in Microsoft Office (Excel Outlook Word)
Ability to read and interpret technical documentation and drawings
Comfortable working full-time onsite in Bartlesville Oklahoma
Strong communication skills with the ability to coordinate across project procurement and finance teams

Preferred Qualifications

Associates degree or higher
3 years of experience working in SAP or similar maintenance management systems
Prior experience supporting procurement purchasing or supply chain activities
Experience supporting multiple projects simultaneously
Mechanical aptitude and general familiarity with industrial pipeline terminal or plant equipment

Contract Details

1-year contract with potential for extension based on project needs
Full-time onsite role in Bartlesville Oklahoma
