Position Summary

TheCatering Coordinator supports the CateringSales Teamby advising clients of ratescatering and services; preparation and execution of event contracts planning coordination and execution of food & beverage events within the convention center.

Strong verbal and written communications skills the ability to manage several tasks simultaneously be self-governed and self-motivated possess a basic understanding of banquet andcateringsales public relations advertising and special event planning and execution are essential.

This role pays an hourly rate of $20.00-22.00

About the Venue

ThePalm Beach County Convention Center is a multi-purpose facility in West Palm Beach Florida managed by Oak View Center features a 100000 square-foot exhibit hall a 22000 square-foot ballroom and 21000 square feet of flexible meeting space as well as connecting to the 400-room Hilton West Palm Beach.

Responsibilities

  • AssistCateringSales Team in creating and and distributionof accurate Banquet Event Orders (BEO).
  • AssistCatering Sales Team in responding to leads.
  • AssistCatering Sales Team in securing concessions vendors for retail events.
  • Prepare event contracts sales folders sales kits and correspondence to clients.
  • Enter and maintain complete and accurate information into booking system.
  • Works with clients and facility staff to determine event needs and opportunities for upselling food and beverages and other services offered by the facility.
  • Represent the facility to potential facility users; respond to inquiries regardingcateringservices and send out food and beverage materials; assist with the collection of deposits
  • Create and maintain event files; distribute and reconcile all event folders and respective checklists for the department
  • Represent the department at weekly operational meetings and attend weekly BEO meetings.
  • Update event revenues in computerized event booking and management system on a weekly and monthly as required for forecasting
  • Demonstrate continuous effort to improve operations decrease turnaround times streamline work processes and work cooperatively and jointly to provide quality seamless customer service
  • Work a flexible schedule including long nights early mornings weekends & holidays as needed.
  • Perform other duties as required

Qualifications

  • 1-2 years of previous experience in an administrative support position preferably in a sales capacity at a hotel convention center or related meeting preferred
  • High school diploma or equivalent GED required.
  • Ability to communicate clearly accurately and concisely in the English language both orally and in writing; type at a speed necessary for successful job
  • Ability to prioritize work and effectively resolve workload issues
  • Strong computer skills in Windows environment and MS Office applications. Training on industry software will be provided.
  • Ability to work a flexible schedule including nights weekends and select holidays as required in addition to normal business hours if needed.
