Travel buyers - online travel agencies retail travel agents corporate travel managers tour operators wholesalers tourism boards super apps DMCs group providers airlines and more - can integrate the hundreds of thousands of hotels and ground services in the WebBeds marketplace through simple and seamless API connectivity or they can search shop and book online through one of WebBeds trade only booking sites.

How you will make an impact:

As a Global Payments Optimization Analyst you will play a key role in ensuring suppliers across the business are paid accurately on time and in line with contractual terms and company policy. You will support the end-to-end supplier payment lifecycle across trade and non-trade suppliers resolving payment disputes reconciling accounts and maintaining the integrity of the creditor ledger.

Working closely with internal stakeholders and external suppliers you will help optimize payment processes promote Virtual Credit Card (VCC) usage and contribute to efficient month-end close activities. You will also support the Global Payments Optimization Team Leader and Senior Analysts with day-to-day operations and ad-hoc initiatives helping to drive continuous improvement across the function.

Key elements to the role include:

Payment Processing & Supplier Management

  • Process supplier payment runs accurately and in line with the agreed payment calendar and approval framework.
  • Handle supplier payment queries including escalations ensuring timely resolution in line with SLAs.
  • Ensure bank upload files are accurate authorized and processed within agreed cash flow limits.
  • Maintain accurate and up-to-date supplier bank details in line with internal controls and deadlines.
  • Attend to external supplier calls and manage ongoing communication regarding payments and booking queries.

Reconciliation & Financial Control

  • Perform regular reconciliation of supplier accounts intercompany balances and VCC transactions.
  • Reconcile company credit card payments resolve disputed items and escalate issues where required.
  • Monitor supplier breakage for invoices not received within a six-month period and take appropriate action.
  • Ensure accounting entries are accurate balances on hold are visible reviewed and appropriately managed.
  • Deduct marketing funds and overrides in line with contractual agreements flagging anomalies to the Team Leader.

Dispute Resolution & Stakeholder Collaboration

  • Resolve payment disputes through proactive communication with suppliers and internal teams.
  • Partner with Commercial teams to reclaim debit balances and resolve outstanding issues.
  • Build and maintain strong working relationships with Purchasing Content Investigations and Finance teams.
  • Promote payment by Virtual Credit Card (VCC) where appropriate and support supplier adoption.

Reporting & Operational Support

  • Maintain essential operational and KPI reporting to support team performance and month-end deadlines.
  • Prepare monthly KPIs for the Global Payments Optimization Team Leader as required.
  • Assist with data collection analysis and reporting to support management decision-making.
  • Support finance projects process improvements and ad-hoc tasks as assigned by the Team Leader or Finance Management.

Policy Governance & Continuous Improvement

  • Ensure compliance with company policies procedures and financial controls across all activities.
  • Identify process inefficiencies or risks and make recommendations for improvement.
  • Support the maintenance and continuous enhancement of departmental policies and procedures.
  • Ensure daily tasks are completed accurately and on time to avoid downstream operational impact.

Essential

  • Strong numerical and analytical skills with exceptional attention to detail and accuracy.
  • Proven ability to resolve problems efficiently even under pressure and tight deadlines.
  • Solid working knowledge of Microsoft Excel (including formulas) Word and Outlook.
  • Excellent written and verbal communication skills in English.
  • A collaborative positive and flexible team player with a proactive mindset.

Desirable

  • Previous experience in a finance accounts payable or payments environment.
  • Working knowledge of financial systems and reconciliation processes.
  • Experience within the travel industry or familiarity with booking platforms.
  • Understanding of accounts payable supplier payments or creditor ledger management.
