Established as a community non-profit in 1972 The Center provides targeted programs and services to the full diversity of the San Diego LGBTQ community. The mission of The Center is to enhance and sustain the health and well-being of the lesbian gay bisexual queer transgender nonbinary immigrant and HIV communities for the betterment of our entire San Diego region. Our vision is to create a Center and Center culture where every person feels and knows that they are welcomed valued and supported. As the beacon for our regional LGBTQ community we actively recommit to being a more vibrant bold innovative safe and modern center each day than the day before. The Center is sex-positive and provides advocacy and critical health and social support services to support our community members through all stages of life focusing on our deeply held values of equity social justice and client-centered trauma-informed care. The Center currently has over 75 staff working at five facilities across San Diego County.
POSITION SUMMARY
Reporting to the Senior Manager of Accounting the Accounting Clerk will be split will split their time between the Accounting Department (80%) and the People & Culture (20%). The workload within People and Culture will be guided by the Manager of People and Culture.
PRIMARY ROLES & RESPONSIBILITIES
Data Entry
- Assist Accounting Office team members with entry of prepared data into financial systems (e.g. journal entries invoice payments credit card entries).
- Enter invoices invoice payments and invoice adjustments in NXT A/R module (accounting software) as prepared by the Senior Contract Billing Specialist.
- Assist with staff labor allocation changes in both the payroll spreadsheet and the payroll software as directed by the Contracts team.
- Create and maintain employee files to keep them in compliance.
Administration (Accounting)
- Assist with sending out various filings and correspondence as prepared by the Vice President of Accounting and Senior Manager of Accounting (e.g. property tax forms and exemptions audit-related filings and communications Service Partners such as Nationwide ADP/Paylocity among others).
- Monitor and download various activity reports and monthly statements for bank accounts credit card accounts endowment accounts and other accounts as needed.
- Filing of weekly check runs and journal entries as they happen during the year and coordinating transfer of files to storage at the end of the fiscal year and establishing new files for the upcoming fiscal year.
- Pick up and drop off daily mail at the Post Office and distribute as needed. Help the Accounting Office receive and disburse packages received at the Welcome Desk.
- Maintain the Accounting Office annual calendar of due dates send reminders to Accounting staff regarding dates/projects on the calendar and record completion of calendar items.
- Maintain the Finance Section of the San Diego LGBT Community Center Operations Manual using updated information provided by members of the Accounting Office.
- Maintain all accounting files physical and electronic including annual transfer of documents to storage space.
- Be a back-up for daily electronic bank deposits.
- Provide administrative support to the accounting department as relates to accounts payable accounts receivable payroll non-contract revenue contract independent audits and reviews and annual close procedures.
Administration (People and Culture)
- Assist with P&C employee file management maintenance and conducting regular audits.
- Assist with benefits enrollment paperwork and route questions appropriately.
- Assist with employee onboarding and offboarding.
- Assist with I-9 file management maintenance and completion of regular audits
Auditing Reporting & Compliance
- For each bi-monthly payroll review timecards for completeness accuracy and proper approvals including the number of hours and type of pay before the P&C Specialist continues the payroll process.
- Monitor various State agency websites to confirm The Center and related organizations status.
- Maintain proper documentation and follow appropriate document retention policies to ensure the finance department is audit-ready at all times
- Assist Contracts with the distribution and collection of functional timesheets.
Required Qualifications:
- Education/Experience: 1-3 years in an office environment to include experience in accounting and/or payroll.
- Professional Skills: ability to pay attention to detail and is team-oriented.
- Technology Skills: Intermediate skills in MS Office Suite primarily Excel.
- Language Skills: Fluency in English.
preferred QUALIFICATIONS:
- Education/Experience: 1-3 years with payroll or accounting with a non-profit or social justice organization for at least 100 employees.
- Computer Skills: MS Office Suite (Advanced) Payroll (ADP) Accounting (Blackbaud Financial Edge).
- Language Skills: Fluency in Spanish is highly preferred.
COMPENSATION & BENEFITS:
- Compensation: The pay range for this position is $25.00 - $26.00 per hour and is commensurate with experience. This is a Full-Time Regular Non-Exempt position.
