POSITION SPECIFICS

The Center for Healthy Aging is recruiting an Administrative Assistant to provide comprehensive administrative and operational support to ensure the efficient functioning of our office. This role requires strong organizational communication and coordination skills and includes managing daily workflows coordinating schedules and meetings handling internal and external communications and supporting financial facilities and event-related processes.

JOB RESPONSIBILITIES

  • Update organize andmaintainSharePoint sites and OneDrive shared files.
  • Support affiliate faculty by updating curricula vitae (CVs) andmaintainingActivity Insight profiles.
  • Provide calendar management support for the Director and Assistant Director including scheduling and travel coordination.
  • Compose review and distribute internal and external communications.
  • Coordinate meetinglogistics including scheduling agenda development materials preparation technology setup catering and travel arrangements.
  • Support and coordinatespecial eventsby reserving spaces preparing materials developing itineraries coordinating across teams and serving as vendor point of contact.
  • Provide facilities support bymaintainingdevices inventorysubmittingand tracking work tickets coordinating office setups and changes andassistingwith conference room scheduling.
  • Initiate expense and travel reports invoice payments office supply orders and sponsored account requests.

QUALIFICATIONS / SKILL

  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Proficiencywith Microsoft 365 tools including SharePoint OneDrive Outlook Word Excel and Teamsis desired.
  • Experience supporting calendars meetings and travel for senior leaders.

MINIMUM EDUCATION WORK EXPERIENCE & REQUIRED CERTIFICATIONS

If filled as Administrative Assistant - Intermediate Support this position requires: General Equivalency Diploma (GED) or High School (HS) 2 years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None If filled as Administrative Assistant - Senior Support this position requires: Associate Degree 4 years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

FLEXIBLE WORK ARRANGEMENTS

  • The location of this position is flexible and canoperatefully in person at the University Park campus or in a hybrid model of both in-person and remote (e.g. 2 days remote 3 days in the office per week). Standard working hours are in the Eastern time zone. Questions about flexible work arrangements can be directed to the hiring manager.

SALARY & BENEFITS

The salary range for this position including all possible grades is $38300.00 - $61000.00.
