The Colorado State Board of Land Commissioners is a unique entrepreneurial agency within Colorado state government. The agency manages a constitutionally created 148 year old multi-billion dollar endowment of assets for the benefit of Colorados K-12 school children. The endowment holds more than 3 million acres of land and 4 million acres of minerals that are carefully managed for grazing and agriculture natural resource extraction renewable energy recreation commercial real estate and other uses. Over the past several years the revenues generated by these activities have funded the construction or renovation of more than 500 schools around the State. The State Land Board (SLB) is composed of six primary work groups. Asset Management incorporates our District field offices Resource Extraction Real Estate and other programs. The Service groups include Transactions and Records Services (TRS) Data Services/GIS Finance and outreach/external affairs.

The Transactions and Records Services (TRS) work unit is responsible for establishing processing systems for transaction-related activities and records requirements for more than 7400 active leases contracts and transactions. This team supports all revenue producing business units (e.g. Minerals Real Estate Field Operations) in a variety of roles including but not limited to: agency-wide process improvement initiatives transaction processing and support administration of contract templates data management and workflows management of Board policies and oversight of risk management protocols. The team is a critical resource to lease customers line of business staff and the Board of Commissioners. TRS is responsible for developing standards and management procedures for agency records to ensure information is accurately captured to maintain institutional memory and comply with statute. TRS processes all Colorado Open Records Requests received by the agency.

The Executive Admin & Office Manager is responsible for program and office support for the entire agency with five predominant responsibilities: agency administration Board relations and support Director executive assistance data management/transaction processing and communications implementation and delivery.

This position incorporates best management practices of office administration to provide quality service for customers and enhance Staff performance and efficiencies. The Executive Admin & Office Manager is the first point of contact for the public and customers who call mail email or visit the Denver office. The Executive Admin & Office Manager provides executive assistance to the Director including scheduling clerical and logistics support. The Executive Admin & Office Manager reviews edits and assembles permanent agency records including correspondence reports monthly decision-making materials and related records distributed to the Board. All Board meeting related responsibilities (held in Denver office and at offsite locations throughout the State) including Board and Staff travel and accommodations are coordinated attended by and the responsibility of the Executive Admin & Office Manager.

Responsibilities include processing a large volume of hard copy mail that involves digital transformation to communicate and/or support transactions (i.e.. leasing related activities) in ATLAS. Digital transformation of the office mail includes scanning and creating records/entering data into ATLAS to initiate processing steps for other agency work units.

The Executive Admin & Office Manager provides administrative and technical support for the agencys Outreach and Communications unit. General duties include research writing project management and Customer Relationship Management (CRM) data entry and management in ATLAS for communication purposes.

Responsibilities include performing agency fleet coordinator duties including procurement of vehicles facilitating maintenance of Denver based vehicles and creating and implementing best management practices in collaboration with the Department of Natural Resources.

Minimum Qualifications:
Five (5) years of experience in an office environment performing the daily onsite responsibilities that support effective office management and administration.

- OR -

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to five (5) years. Related degrees would include paralegal studies business administration or communications.

  • Proficiency in workplace applications of Google Suite Microsoft Office Suite and Adobe Acrobat
