Job Summary
This position is responsible for developing and implementing high-impact special projects for the Faculty of Health and Social Development (FHSD). This position coordinates internal and external engagement opportunities and implements targeted initiatives to advance the Facultys strategic priorities. Successful execution of these projects will support FHSDs rapid stabilization following the transition to the Downtown Kelowna campus. This position also oversees short-term projects across all three Schools to ensure a coordinated and streamlined strategic planning and implementation.
This is a term position with an expected end date of December 31 2028.
Organizational Status
This position receives direction from and provides services to the Faculty of Health and Social Development and through the Manager Administration and Operations to its three Schools: The School of Nursing the School of Social Work and the School of Health and Exercise position acts as the key implementation agent for FHSD engagement projects and works with staff and administrators from various other UBC departments including University Relations Development and Alumni Engagement the Office of the Provost and Vice Principal UBC Counsel and other University departments and faculties. This position will work closely with School Assistants and various specialists within FHSD to gather and collate pertinent information to complete their projects.
Work Performed
Project Management
Compiles and analyzes information and data to develop Faculty and School Unit Reviews and Strategic Plans. Works with Faculty leadership to ensure accuracy of data and implement related communications initiatives.
Conceives of plans and executes community and industry partner initiatives and projects. Works with community partners to develop long-term strategic partnerships and engagement opportunities as the Downtown campus building comes online.
Organizes events to represent and build the profile of the FHSD (or Schools); and to collect information and content to inform future strategic and engagement decisions.
Tracks metrics stays current and makes recommendations to develop a strong positive presence across all engagement opportunities.
Collects and collates information and statistical information for the FHSD annual report to support the efficacy of the functional area in supporting the overall mission and aims of the FHSD the SoN SSW and HES. Presents information to Dean and Faculty Council.
Creates project plans and implementation timelines for coordination of Downtown move by performing necessary background research and sharing information to affected parties. Develops plans to anticipate and mitigate risk to project timelines.
Create and communicates deadlines for project milestones and track progress.
Reports project progress to relevant committees (FHSD Space Committee School meetings)
Drafts proposals for future backfill priorities based on strategic reports and recommendations from external reviews.
Strategic Priority Development
Develops and implements strategic priorities for Associate Deans during transition period for Faculty.
Oversees FHSD Senate curriculum submissions to follow correct policy and procedure. Works with School staff to ensure submissions reach UBCO Senate agendas in timely fashion.
Develops onboarding processes for non-degree programs and certificates. Works with faculty leads to develop recruitment marketing and delivery strategies for non-degree programs and certificates. Oversees and assigns work as required to School staff. Attends faculty committee meetings as required.
Event Management
Organizes seminars workshops conferences guest speakers and other events managing volunteers presenters speakers and committee members. Delegates event details including booking facilities arranging catering arranging travel organizing material expenditures and registration for such events as required.
Develops digital and print advertising for events.
Receives official visitors.
Consequence of Error/Judgement
This position has access to confidential correspondence financial records and personal information for students staff and faculty. This position is integral to the implementation of engagement projects and initiatives including the Faculty and School strategic plans which require delicate and sophisticated judgement. Poor judgement or errors in processing confidential materials and correspondence could have an adverse effect on the work of Faculty. Access to this wide range of information requires the employee to exercise judgment in maintaining the confidentiality of the information. A breach of privacy and policy may have serious financial implications to the University. Must be able to exercise a great deal of judgment and initiative in dealing with administrative matters where there are no established policies procedures or guidelines. incorrect information inappropriate recommendations and poor decisions or actions would have a considerable impact on the reputation and profile of the faculty.
Supervision Received
This position reports to the Dean Faculty of Health and Social Development and works with the Manager Administration and Operations to develop strategic and operational priorities.

May assign and check work of project team members including faculty support staff and students.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of related experience or the equivalent combination of education and experience.

Preferred Qualifications
Project Management Professional (PMP) certification preferred.
Experience providing project and/or process management support in relevant field.
Evidence of effectively supporting engagement activities within a post-secondary or similar environment.
Able to maintain accuracy; high attention to detail.
Evidence of copywriting editing and proofreading skills.
Demonstrated ability to work effectively with others and to undertake emerging tasks with minimal supervision.
Proven communication skills both verbal and written with a track record of disseminating complex information to audiences with mixed levels of understanding.
Knowledge of university policies and procedures financial records and UBC systems would be an asset.
Formal public speaking skills with small and large groups would be an asset.
Experience with a wide variety of applications including but not limited to design and publishing software e.g. Adobe Suite Canva Envoke.
Able to ensure efficient records management procedures and practices required.
Able to take and transcribe accurate minutes and able to perform word processing at 60 words per minute.
Experience with photography would be an asset.
May be required to work on evenings and/or weekends occasionally.
