Under direct supervision performs as Team Leader monitoring and overseeing the daily work activities of collecting delivering sorting distributing and dispatching incoming outgoing and departmental mail timely and accurately.
Principal Responsibilities and Tasks

- Monitors the receipt of all incoming mail interdepartmental mail notices and memoranda.
- Checks for accuracy of sorting according to appropriate destination and distribution to all hospital departments.
- Oversees the delivery of mail and provides essential information to staff and various medical systems departments.
- Ensures the checks and traces of improperly addressed mail for correction and return to originator.
- Monitors the sorting and weighting of outgoing mail to include affixing appropriate postage and transport to the United States post office as necessary.
- Oversees the postage meter count and ensures a check is issued to cover necessary postage fees as needed. Ensures petty cash balance is maintained.
- Ensures register and or certified mail packages and insured items are processed properly.
- With the help of the Manager establishes daily work schedules assigns staff to perform specific functions and ensures employees fill out time sheets properly.
- Assists or fill in for staff during peak work hours or staff shortages to ensure all assignments are completed. Also provides oversight to receiving staff during absence of Manager and Receiving Team Leader.
- Attends in-service training programs as directed by supervisor.
- Communicates with Manager daily regarding all major activities and problems.
Qualifications :
Education and Experience
- Completion of a tenth grade high school level of course work is required.
- Minimum of one year general work experience is required.
Knowledge Skills and Abilities
- Ability to retrieve or deliver materials to various locations within the Medical System.
- Ability to operate basis support equipment for folding and cutting paper and sorting mail.
- Ability to stand/or walk for extended periods of time while picking up and delivering mail.
- Ability to lift up to 20 lbs. of cartons/boxes of (paper or mail) up to 20% of the time.
- Effective oral and written communication skills are necessary in being able to follow verbal and written instructions accurately and work with various hospital personnel.
Patient Safety
Ensures patient safety in the performance of job functions and through participation in hospital department or unit patient safety initiatives.
- Takes action to correct observed risks to patient safety.
- Reports adverse events and near misses to appropriate management authority.
- Identifies possible risks in processes procedures devices and communicates the same to those in charge.
