Job Description:
An Executive Assistant (EA) to a Director at a paint manufacturing company provides high-level administrative operational and strategic support to ensure efficient operations. This role demands discretion professionalism and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Calendar and Schedule Management:Proactively manage the Directors complex calendar including scheduling appointments meetings and calls assessing priority and reallocating as necessary to maximize productivity.
- Communication Handling:Act as the primary liaison between the Director and internal/external stakeholders screening calls emails and requests and responding or directing them appropriately. This includes liaising with customers vendors sales heads HR and other departments.
- Travel Coordination:Arrange and coordinate travel itineraries (domestic and international) including booking flights accommodations transportation and processing expenses.
- Document Preparation and Management:Prepare edit and distribute correspondence presentations reports and other business documents. This involves conducting research and compiling data when required.
- Meeting Coordination:Organize and coordinate meetings (including board meetings and dealer meets) prepare agendas take minutes and ensure timely follow-ups on action items.
- Project and Task Coordination:Support the Director in project coordination between various departments like sales production and the laboratory. Drive or support special projects as assigned.
- Confidentiality and Discretion:Handle sensitive and confidential information with the highest level of professionalism and discretion.
- Office Administration:Assist with general administrative duties such as managing filing systems ordering supplies and monitoring/processing expenses and budgets.
- On-site Support:Travel alone or with the Director to manufacturing units client locations or events as required.
Qualifications & Skills
- Experience:Proven experience (typically 2-5 years) as an Executive Assistant or in a similar administrative role preferably supporting senior leadership within a manufacturing or related industry.
- Education:A Bachelors degree in Business Administration or a related field is often preferred.
- Core Competencies:
- Exceptional organizational time-management and problem-solving skills.
- Strong written and verbal communication skills proficient in professional English.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and calendar management tools.
- Ability to work independently with minimal supervision and manage competing demands under pressure.
- A tactful assertive and articulate demeanor with strong interpersonal skills.
