Executive Assistant

Cytokinetics is a late-stage specialty cardiovascular biopharmaceutical company focused on discovering developing and commercializing first-in-class muscle activators and next-in-class muscle inhibitors as potential treatments for debilitating diseases in which cardiac muscle performance is compromised. Job Purpose

The Executive Assistant provides high-level executive administrative support to senior Operations Quality and Supply Chain leadership while ensuring the effective day-to-day management of the Cytokinetics Dublin office. Operating within a regulated pharmaceutical environment the role supports governance compliance and business continuity through professional coordination of executive activities facilities management and stakeholder engagement.

Responsibilities

Executive & Administrative Support

Provide comprehensive PA and administrative support to the senior leaders based in the Cytokinetics Dublin office VP External Manufacturing Senior Director Quality and members of the Operations Quality and Supply Chain leadership teams as required including:

• Proactive diary and calendar management including scheduling of internal and external meetings.
• Drafting typing and preparation of correspondence presentations technical reports memos and briefing materials.
• Screening prioritization and management of email communications.
• Handling confidential information and correspondence with discretion and professionalism.
• Supporting the development of meeting agendas and collation of associated documentation.
• Expediting matters on behalf of senior management including sourcing information tracking actions and following up with stakeholders.
• Ensuring continuity during the absence of senior leaders including appropriate referral or escalation of matters.

Governance Meetings & Business Coordination

Responsibilities include agenda preparation document collation meeting logistics action tracking and follow-up. Oversee and coordinate key governance and leadership forums including:

• Cytokinetics Ireland Board materials.
• Operations Quarterly Business Reviews and weekly meetings
• Co-ordinate Global Supply Chain and Technical Operations meeting when held in Dublin.

Travel Events & External Engagement

• Organize complex domestic and international business travel including Concur management.
• Coordinate meetings conferences and workshops both on-site and off-site including accommodation and logistics.
• Facilitate arrangements for external visitors including international visitors.
• Act as a professional interface with external contacts and service providers across a full range of business matters

Office Coordination (EA Scope Only)

Provide light oversight to ensure the Dublin office runs smoothly in partnership with Facilities and EHSS:

• Interface with service providers (e.g. facilities security) as needed.
• Manage office supplies and space coordination.
• Oversee local administrative purchasing and Oracle processing.

Business Support & Stakeholder Interaction

Act as a key support and coordination point for effective collaboration with:

• Global Supply Chain and Technical Operations administrative teams
• Corporate administrative teams for Global event planning
• European administrative teams to ensure coordination
• HR Business Partner for engagement activities
• Senior Administrative Assistants (US & Europe)
• Internal and external stakeholders across the organization
• Engages with the Cytokinetics Ireland Limited Board of Directors when appropriate

Requirements

Technical Competence and Knowledge

• Leaving Certificate and 10 years of relevant experience
• Proficient with MS Office Concur Budget and Procurement systems
• Models customer service organization and professionalism.
• Demonstrates strong organizational skills with sharp attention to detail
• Completes research and tasks based on knowledge
• Applies knowledge from industry best practices
• Uses discretion and honors confidentiality with sensitive information
