Job Description:
The Executive Office Administrator provides high-level administrative organizational and operational support to senior leadership. This role ensures the efficient day-to-day functioning of the Executive Office by managing schedules communications documentation and confidential matters with discretion and professionalism.
Key Responsibilities
Provide direct administrative support to senior executives including calendar management meeting coordination and travel arrangements
Prepare review and manage correspondence reports presentations and briefing materials
Serve as a primary point of contact between the Executive Office and internal/external stakeholders
Coordinate executive meetings board meetings and special events; prepare agendas take minutes and track follow-up actions
Handle sensitive and confidential information with a high level of discretion
Support strategic initiatives by conducting research compiling data and assisting with project coordination
Maintain organized filing systems (digital and physical) and ensure accurate record-keeping
Monitor deadlines prioritize requests and ensure timely completion of executive tasks
Assist with office operations policy compliance and continuous process improvement
Qualifications & Skills
Bachelors degree or equivalent professional experience
Proven experience in an executive support administrative or office management role
Exceptional organizational time-management and multitasking abilities
Strong written and verbal communication skills
High level of professionalism discretion and judgment
Proficiency in Microsoft Office Google Workspace and office productivity tools
Ability to work independently anticipate needs and adapt in a fast-paced environment
Preferred Qualifications
Experience supporting C-suite or senior leadership
Familiarity with board governance or executive-level reporting
Project management or coordination experience
