Job Summary


A Brief Overview

Reporting to the Manager First year the Pathways Advisor supports the development delivery and ongoing maintenance and improvements of student transition pathways into Smith Engineering. The role integrates planning partnership development curriculum coordination and student support to ensure successful entry and progression for students entering through pathways other than direct high school including transfer students college and other specialized pathways.

The incumbent will leverage their previous experience in presenting to diverse audiences building strong stakeholder relationships and designing and implementing recruitment strategies to strengthen pathway programs and student engagement. The position plans coordinates and attends program recruitment and student support activities. These events may include off campus travel.

The Pathways Advisor will provide academic advising to prospective and current students at various stages of these pathways including pre- and post-admission assisting them with program planning course selection and enrollment management. Supporting key initiatives of Smith Engineering the incumbent will collaborate across units to address gaps in student experience improve transfer-related processes and help shape new student services initiatives that align with Faculty priorities and equity-focused goals.

The schedule for this position requires the incumbent to work frequent early mornings evenings and weekends according to program or area needs.

Job Description

What you will do

  • Provides academic advice to students including degree requirements course selection transfers timetabling withdrawals and regulations.

  • Acts as subject matter expert on policies and procedures for academic programs which may include submitting applications registration and/or fee payment.

  • Monitors academic progress requirements including tracking academic records transfer credits and facilitating individual student study plans.

  • Acts as a resource to faculty including explaining policies procedures and student progression. Recommends changes to policies and procedures for improvement of department services.

  • Coordinates large unit-wide tasks activities and or/events.

  • Facilitates and/or participates at events which may include recruitment events workshops webinars information sessions presentations and/or ceremonies.

  • Provides administrative support including managing data preparing reports drafting correspondence scheduling and tracking materials for courses and/or monitoring and maintaining records.

  • Liaises with outside colleges and/or regulators to confirm and verify student information for registration.

  • Participates as a member and provides administrative support to committee(s) including meeting coordination setting agendas meetings minutes document distribution drafting and reviewing correspondence and/or following up on action items.

  • Reviews and provides recommendations for hiring instructors.

  • Builds and maintains relationships with external parties creating opportunities for mutually beneficial collaboration.

  • Prepares external communications including newsletters and website updates.

  • Provides referrals to additional resources.

  • Coordinates timetabling.

  • Provides back up and support to other positions within the department.

  • Other duties as required in support of the department and/or unit.
Required Education
  • Four-Year Bachelor Degree or equivalent.
    Required Experience
    • More than 3 years and up to and including 5 years of experience.
      • Experience working at a post-secondary education institution considered an asset.

      • Experience advising students considered an asset.

      • Experience planning coordinating and/or managing events or promotions considered an asset.

      • Experience in data trend analysis and reporting considered an asset.

    Consideration may be given to an equivalent combination of education and experience.

    • Identify opportunities to improve the effectiveness and efficiency of work processes.

    • Draw logical conclusions and provides opinions and recommendations.
