Job Summary

Position Summary

This position involves advanced and varied administrative work and requires being highly organized and able to handle multiple projects and priorities. The Scholarship Specialist should be comfortable with increased decision-making responsibilities and knowledge of institutional policies and procedures. The Scholarship Specialist prepares a variety of typewritten documents; executes a variety of administrative procedures files and manages records; receives callers and visitors and performs related work as assigned. They frequently develop and refine work routines and are expected to carry out the assignments through to completion with a minimum of supervision. Work also includes devising and implementing new work methods interpreting rules and procedures.

Salary: Appropriate placement onACCS Salary Schedule E3 Grade 4: $39759 - $57251

(Salary placement within this range is determined by your documented years of full-time related work experience)


Work Hours: Monday through Thursday 7:45 a.m. - 5:15 p.m.; Friday 7:45 a.m. - 11:45 a.m.

Essential Duties and Responsibilities

  1. Administer the Foundation scholarship awarding process by maintaining organized records files reports and database resources. Facilitate the associated communication process.
  2. Serve as backup for the Administrative Assistant.
  3. Support Alumni Relations program.
  4. Maintain calendars and schedules for individuals groups and/or meeting space balancing schedules and priorities.
  5. Receive input and process paperwork ensuring items are submitted in a timely manner.
  6. Operate Excel Donor Database Software and /or other database software to track sort format and analyze data for a variety of purposes including reporting and data analysis.
  7. Discern when confidentiality in work needs to be maintained and maintain that confidentiality.
  8. Alert Supervisor of any issues that are in need of upper management attention.
  9. Communicate with customers (students faculty and staff the public tenants other postsecondary personnel) in person via email and/or phone to disseminate and explain information and resolve issues.
  10. Recommend ways to improve processes and or procedures for more efficient operation.
  11. Perform all duties with professionalism.
  12. Assist with and attend special Foundation events.
  13. Assist in the preparation of budgets.
  14. Proof and edit correspondence and documents.
  15. Create proof and edit presentations in PowerPoint or other presentations software.
  16. Utilize computer programs to mail merge documents and create labels.
  17. Implement and maintain filing systems.
  18. Answer a multi-line phone system and direct calls appropriately.
  19. Greet in person visitors and respond to their needs appropriately.
  20. Type and transcribe letters memos and other correspondence or written documentation.
  21. Take meeting minutes when needed.
  22. Perform research via the internet or other channels to gather information answer questions or resolve issues.
  23. Prepare Scholarship reports and meeting agendas for Foundation Board Scholarship Committee.
  24. Coordinate the work-study and part-time employees.
  25. Screen and route incoming mail including email in a backup/cross-training capacity.
  26. Conduct facility reviews.
  27. Maintain office including equipment.
  28. Prepare and coordinate merging Academic-Year-End Endowment spreadsheet with Endowment Report Template and mail annual Endowment Reports to donors.
  29. Cross-train Foundation Administrative Assistant(s) on scholarship awarding including all related duties.
  30. Maintain year-round awarding and re-awarding of Foundation Scholarships.
  31. Maintain greater than 90% awarding of Foundation Scholarships.

Qualifications

  1. A minimum of one (1) year (32 semester hours) of postsecondary education with a minimum of 16 semester hours in a related field and a minimum of one (1) year of related work experience is required OR one (1) year (32 semester hours) of postsecondary education and a minimum of three (3) years related work experience is required.
  2. Ability to utilize Microsoft Office (Word Excel etc.) programs to enter sort and analyze information and prepare reports is required.

No testing for this position will be allowed beyond this deadline date. Failure to complete this testing will deem your application incomplete.   9. Skill in operating a mouse to control a computer.
  10. Skill in operating a computer including tablets.
  11. Skill in operating multi-line phone system.
  12. Skill in operating a fax machine copier scanner calculator printer camera and typewriter.
  13. Skill in operating AV equipment.
  14. Ability to utilize Donor Perfect Scholarship Awarding Software (training provided) or other database software to enter format sort and analyze information and prepare reports.
  15. Ability to make decisions based on correspondence data or other information.
  16. Ability to utilize Educational Administrative Software for inputting and locating information; training provided.
  17. Ability to utilize and search the internet for information.
  18. Ability to multi-task and prioritize issues.
  19. Ability to maintain confidential information.
  20. Ability to work and communicate with a variety of people from diverse backgrounds.
  21. Ability to utilize email systems to communicate information.
  22. Ability to work with minimal supervision.
  23. Ability to operate in a professional manner at all times.
  24. Ability to greet individuals of any background with friendliness tact and courtesy.
  25. Ability to draft letters and other correspondence.
  26. Ability to proof and correct materials according to the rules of grammar and business etiquette.

  28. Ability to manage upward to ensure the schedule and priorities of managers are maintained.
  29. Ability to create visual presentations using PowerPoint or similar tools.
