The Manulife Corporate Archives manages and makes available to business units worldwide the permanent records of Manulife John Hancock its subsidiaries and acquired companies. The Corporate Archives supports risk management research and reference activities and Company-wide engagement. It serves as a unique resource that can be accessed and consulted by teams across Manulife in support of business initiatives and strategic priorities.
The Archives Specialist is a key member of a team of archival professionals responsible for the selection preservation and maintenance of historical and permanent records for Manulife. Key responsibilities of this role include the arrangement and description of permanent records research and reference services and archival outreach.
This position reports to the Manager Corporate Archives and will involve day-to-day collaboration with another experienced Archivist.
Position Responsibilities:
Arrangement and Description
Accession permanent records to the Corporate Archives initiating both physical and digital workflows. Ensure that all databases repositories spreadsheets and workflows are updated with timely and accurate information.
In consultation with the Manager review records classification schemes develop archival processing plans and identify priority record series for processing.
Provide description of unique media including photographs digital records audiovisual records and artifacts in accordance with relevant descriptive standards. Ensure that the records are handled and stored in accordance with archival principles.
Note preservation concerns in the collection (both physical and digital) and make recommendations to the Manager for conservation measures as appropriate.
Recommend modifications and updates to internal archival procedures and workflows.
Scan documents and photographs as required. Manage digital files including PDFs and TIFFs. Ensure that naming conventions for digital records are followed and that records are stored in accordance with departmental procedures and archival best practices. Collaborate across the archives team and with external vendors as required to identify priority records for digitization and implement additional digital recordkeeping capabilities.
Primarily responsible for the ingestion of permanent external and internal communications (e.g. press releases) into relevant repositories.
Research and Reference Services
Conduct research into Manulifes history and collections as assigned. This research includes database searches review and analysis of records consultation of third-party resources and additional research activities as required.
Provide access to records and information to internal clients to meet their business needs and project timelines.
Develop institutional knowledge by assisting in archival research projects independent investigations into informational resources and by gaining familiarity with the collection.
Identify and select visual assets (images audiovisual records) for visual research projects for use in internal communications or for team-specific requests. Consult with the Manager Corporate Archives as needed to meet the needs of internal stakeholders.
Demonstration of customer service institutional knowledge and interpersonal skills to respond to complex inquiries.
Archival Outreach
Maintain the presence of the Corporate Archives on internal engagement platforms to enhance employee experience.
Identify and share images and visual assets that align with Company milestones events programs and strategic initiatives. Provide visual assets to internal teams as assigned.
Assist with the development and provision of tours displays and presentations related to Manulifes history. Provide these engagements independently as appropriate.
Assist with sharing tailored archival resources to enhance the experience of visitors to Manulife (government delegations agencies business clients).
Required Qualifications:
University or college degree in Archives and Records Management information management or history with specialization in Archival Studies preferred (MI/MLIS/MAS).
A minimum of 1-3 years of progressive work experience in an archival setting or related information field.
Experience in core archival functions and knowledge of archival descriptive standards particularly the Rules for Archival Description (RAD) and with relevant archival collection management systems including ArchivEra.
Experience working with archival material in all formats including textual records audio-visual and born-digital materials digitized documents books maps and ephemera.
Excellent communications skills including written communication and public speaking.
Proven ability to develop recommend and implement plans and strategies for maintenance of archival holdings consistent with business objectives.
Proven ability to work independently and to adapt in a dynamic ever-changing work environment.
Experience in the financial services banking or insurance industries an asset.

Salary range is expected to be between
