Position: Logistics Coordinator (part-time March to mid-June / full-time mid-June to mid-August 2026)

Reports To: Director of Strategic Partnerships and Student Pathways
Contract Period: March 2026 August 2026 (Seasonal with the possibility of renewal next year)
Part-time negotiable (10 hrs/week minimum) with full-time in-person required mid-June to mid-August

Salary: $23 - $28 per hour
The Logistics Coordinator ensures the smooth operational execution of the Building Impact Summer Series managing registration scheduling staffing logistics facilities coordination and operational reporting. This role works closely with the Summer Camps Manager and the Director to guarantee a safe efficient and high-quality summer program experience.

Responsibilities will include:
Program Planning (part-time; March mid-June)
- Set up the registration platform and enrollment processes.
- Plan staffing schedules classroom/facility usage and supply needs.
- Coordinate with Finance team on tuition tracking and budget alignment.
- Collaborate with the Director and Summer Camps Manager to align operations with program strategy.
Staff Recruitment & Training (part-time; April May)
- Coordinate onboarding and orientation logistics for instructional staff and student volunteers (HR forms schedules workspace setup).
- Prepare operational materials safety protocols and guides for staff and volunteers.
- Support the Summer Camps Manager in volunteer coordination and placements.
Program Delivery (full-time; mid-June July)
- Manage daily operations: registration desk attendance classroom setup and facilities coordination.
- Ensure staff coverage safety procedures and smooth transitions between program streams.
- Track operational data and program metrics to support reporting and evaluation.
- Troubleshoot operational issues in collaboration with the Summer Camps Manager and Director.
Post-Program Evaluation (full-time; to mid-August)
- Compile operational reports: attendance registration data staffing efficiency and budget reconciliation.
- Document logistical processes to support continuity and planning for future summers.
- Contribute operational insights to support program evaluation and improvement.
Qualifications will include:
- Bachelors degree preferred; experience in administration HR or event coordination preferred.
- 13 years of experience in program coordination operations administration or event management preferably in an educational camp or youth-focused environment.
- Demonstrated strength in logistical planning scheduling and operational execution for multi-day or multi-stream programs.
- Strong organizational skills with close attention to detail and the ability to manage multiple priorities simultaneously.
- Proven ability to work independently as a self-starter while collaborating effectively within a team-based environment.
- Experience managing registration systems databases scheduling tools or student information systems; familiarity with platforms such as Blackbaud Veracross Workday or similar systems is an asset.
- Clear and professional written and verbal communication skills including experience communicating with families staff and internal departments.
- Strong problem-solving skills and the ability to respond calmly and effectively to unexpected operational challenges.
- Experience supporting youth programs camps or school-based initiatives with an understanding of safety protocols and risk management considerations.
- High standard of professionalism discretion and ethical conduct.
- Ability to represent the School positively with internal and external stakeholders.
- Comfort working in a fast-paced seasonal environment with fluctuating demands.
- Willingness and ability to work occasional early mornings or extended hours during peak program delivery periods.
