Reporting To: Lead Payroll and Benefits
Role Overview: The Lead Exit & Benefits Administration is responsible for end-to-end management of employee exits and benefits administration for a high-volume sales workforce. The role ensures timely compliant and accurate closure of exits and post-exit formalities effective administration of insurance benefits along with driving process efficiency automation and system-led improvements to enable scale.
Key Responsibilities
1. Exit Management
Own end-to-end exit administration for high volume exits( 800-1000 per week) including resignation processing separation documentation and system updates while ensuring payroll accuracy and compliance.
Ensure timely and compliant closure of exits in line with statutory payroll and internal policy timelines.
Coordinate with payroll HRBPs finance and business teams for seamless exit execution.
2. Post-Exit Formalities & Documentation
Ensure accurate and timely issuance of:
Relieving and experience letters
Full & Final settlement inputs
Statutory exit documentation (PF ESIC gratuity where applicable)
Show cause and termination letters as required for the respective cases (absconding involuntary exits etc.)
Maintain audit-ready documentation and records for all exits.
3. Recovery Management
Manage employee recoveries dues reconciliation and write-offs as per policy and delegated authority.
Liaise with the legal function for issuance of legal notices and follow-up in critical or high-value cases.
Ensure strong controls and documentation for all recovery and write-off decisions.
4. Insurance Administration
Oversee employee insurance administration across the lifecycle including:
Benefits enrolments
Claims support and coordination with insurers / TPAs
Employee query resolution
Ensure benefits continuity accuracy and compliance for the employees.
Act as an escalation point for complex or sensitive benefits cases.
5. Time-Off / Leave Management
Own end-to-end time-off (leave) administration for the sales workforce ensuring accurate application approval and system recording.
Ensure leave data integrity for payroll processing benefits eligibility exit settlement and actuarial valuations.
Manage exceptions such as:
Backdated leave
Incorrect balances
Leave adjustments at exit / absconding stage
6. Process Excellence Automation & Systems
Identify opportunities to simplify automate and standardise exit and benefits processes.
Partner with HRIS payroll systems and internal tech teams to:
Reduce manual interventions
Improve data accuracy
Enable real-time tracking and reporting
Build scalable workflows to support sustained high-volume operations.
7. Compliance Controls & Governance
Ensure all exit and benefits processes comply with:
Labour laws and statutory requirements
Internal policies and delegation of authority
Audit and data privacy standards
Support internal and external audits related to exits benefits and employee settlements.Proactively flag risks impacting compliance cost or employee experience.
8. Stakeholder & Team Management
Act as a key SPOC for HRBPs payroll finance legal and business teams on exit- and benefits-related matters.
Publish regular MIS covering:
Exit volumes and closure timelines
Absconding and recovery status
Benefits enrolments and claims trends
Lead and guide a team of Exit and Benefits specialists
Allocate work manage capacity and ensure consistent output quality.
Regular reviews coaching and issue resolution to maintain operational discipline and handling volume spikes complexity and stakeholder interactions.
Drive standardisation of SOPs trackers checklists and escalation mechanisms.
Key Qualifications & Experience
Graduate / Postgraduate in HR or a related field with 4-5 years of experience in HR Operations Benefits Administration (Insurance) or Payroll
Prior experience leading teams and driving process improvements/ automations in large fast-growing organisations is essential.
High ownership attention to detail compliance and execution orientation
Ability to operate under tight timelines and high pressure
Strong stakeholder management and analytical skills; comfort with MIS and dashboards.
Proficient in MS Excel/ Google spreadsheets.
