Job Summary

  • Accredited High School Diploma or equivalent (U.S.A. Equivalency) required; Bachelors Degree from an accredited university preferred.

Donor Management and Stewardship:

  • Manage nearly 6000 donor constituent records in the donor management database; accurately update and revise records as well as add new constituent records.
  • Manage own and coordinate all aspects of gift processing to include drafting donor thank you letters receipts and other gift related communications; and create and revise donor letter templates.
  • Coordinate varied aspects of foundation campaigns funds appeals and special events including and beyond supporting these tasks in the donor database system.
  • Ensure all donors receive appropriate acknowledgement of their gifts to the Dallas Education Foundation in a timely manner and that all donors receive documentation of the gift that complies with all applicable laws and regulations.
  • Work with Dallas ISD Volunteer and Partnership Engagement to ensure all gifts to Dallas ISD are recorded per board policy.
  • Track statistics relevant to development and provide Executive Director with written materials necessary for donor stewardship efforts.

Grants Management:

  • Work with Dallas ISD Finance and Volunteer and Partnership Services to gather information necessary to disburse donations to Dallas ISD.
  • Utilize the grant management platform (Submittable) to design and support the grant management tracking process as it relates to grant-seeking and grant-making; maintain all aspects of collecting and information related to grants and grant opportunities including ensuring organization and accuracy of grant calendar and grant reporting.
  • Respond to inquiries from Dallas ISD campus leaders district personnel and potential donors on aspects of grant-seeking and grant-making.

Board Support:

  • Draft board meeting documents including agenda and financial reports.
  • Assist in the preparation of regular/bi-weekly reports regarding donors and/or gift information for mailing lists donor status reports newsletter grants or other needs when requested by the Executive Director; create custom reports as requested; provide document production for departmental board reports or other special projects. As the primary contact facilitate with the bookkeeper to ensure accuracy between financial reporting system and donor database.
  • Attend and take detailed minutes at monthly board meetings and committee and task force meetings as requested by Executive Director.
    Coordinate meeting and respond to requests from the Board of Directors and Board Task Forces and Committees.

Administrative Support:

  • Support reconciliation of income and expenses working alongside bookkeeper.
  • Coordinate and facilitate Annual Audit process run reports and liaise with bookkeeper Executive Director and accounting firm representatives.

Pay invoices:

  • Assist with scheduling appointments and meetings for Executive Director with detail and accuracy.
  • Support additional administrative development and organizational efforts as needed including storage of information of electronic and physical files and creating process flow diagrams for tasks.
  • Order organize and manage inventory of office and event supplies.
  • Submit and manage expenses for Executive Director and perform other duties as requested and within areas of expertise.

Other:

  • Cultivate relationships internally within Dallas ISD by communicating with internal stakeholders on how DEF functions and supports Dallas ISD.
  • All other duties as assigned.
  • Support events as needed.
