BC Assessment is currently looking for a permanent Corporate Legal and Governance Coordinator to join our Corporate Legal team in our Vancouver office.

Who you are

You are a detail-oriented and service-focused professional who enjoys bringing structure clarity and calm to complex and sensitive work. You have strong experience supporting executive leadership Boards and governance processes and youre comfortable exercising sound judgment when handling highly confidential information. You understand administrative best practices think critically about information and priorities and balance strong attention to detail with the ability to see the bigger picture. Just as importantly you build trusted relationships communicate clearly with a wide range of stakeholders and are motivated by contributing to good governance public service and the making a positive impact to the communities BC Assessment supports.

What youll get to do

As the Corporate Legal and Governance Coordinator you will play a key role in supporting the effective operation of the Board of Directors Board Committees and Corporate Legal services. Youll manage and integrate day-to-day governance legal and administrative activities bringing structure discretion and sound judgment to work that is often confidential complex and time sensitive. Working closely with the General Counsel & Corporate Secretary executive leadership and internal and external stakeholders youll help ensure governance processes run smoothly and support informed decision-making.

In this role you will:

  • Manage logistics and preparation for approximately 30 Board and Board Committee meetings annually including establishing the annual schedule for strategic planning sessions annual and regular Board and Committee meetings and the Annual General Meeting in consultation with the Board Chair and President & CEO.
  • Attend all Board and Committee meetings taking accurate minutes highlighting decisions information items and action items preparing draft minutes for approval and tracking follow-up to support proceedings resolutions and reporting on outstanding items.
  • Coordinate submissions for Board and Board Committee meetings and support Board member orientation working closely with divisional contacts and the Executive Office.
  • Assist the President & CEO with monitoring and follow-up on Board requests including tracking issues contracts complaints correspondence briefings and legal opinions to ensure fulfillment of Board direction.
  • Manage the Board budget including financial forecasting tracking and reporting.
  • Research Board and governance issues and prepare reports briefing materials and confidential projects for the Board and Committees (e.g. Board member departure protocols or implementation of in-camera meetings).
  • Represent the Board Office professionally when communicating with stakeholders committees and government offices including the Ministry of Finance.
  • Establish develop and maintain corporate records and filing systems including bylaws minutes reports and other governance documents.
  • Draft and maintain Board website content and related communications materials.
  • Coordinate Board member travel and meeting arrangements track absences vacation overtime and expenses and arrange payment of per diems salaries and quarterly retainers in liaison with the Finance Division and enterprise resource planning (ERP) systems.
  • Administer Board appointment and onboarding processes including orientation access to information meeting attendance requirements and coordination of training or educational sessions.
  • Manage and integrate day-to-day operational and administrative activities supporting Corporate Legal services including monitoring priorities commitments calendars and appointments.
  • Develop implement and improve operational and administrative procedures and processes identifying opportunities to increase efficiency.
  • Conduct research and analysis of confidential and sensitive information identifying issues urgent items implications and resource requirements to support legal and governance services.
  • Provide complex analytical and administrative support including drafting or assisting with contracts agreements legal documents freedom of information requests correspondence briefing notes regular and ad-hoc reports and submissions to government.
  • Act as policy administrator for organization-wide policies ensuring consistency with templates coordinating reviews with Corporate Legal and maintaining the corporate policy register including planning renewals and preparing regular updates for the Executive Committee.
  • Maintain corporate registers for organizational contracts including tracking renewals and preparing regular updates for the Executive Committee.

This position is excluded from the bargaining unit.

  • Compensation: $79859 - $97634

*The salary range provided is based on our current Management salary structure. The successful candidates placement will consider qualifications experience market norms and internal equity. The typical recruitment range spans from the minimum to the mid-range with the potential to advance to the maximum through performance-based increases.

What you bring to the team

Education

  • Post secondary degree in paralegal studies business administration public administration corporate governance or a related field.


Experience

  • Minimum 4 years experience in a business management or governance support role working in a high volume dynamic environment while coordinating multiple priorities.

  • Experience working in the public sector environment with executive Board members and elected officials is preferred.

  • Experience with issues management risk and strategic problem solving.

  • Experience undertaking research and applying analytical skills.

  • Exceptional customer service skills and ability to anticipate the needs of Board members and executive staff including the ability to cultivate a high level of trust and confidence.

  • Strong written and oral communications skills.

  • Skilled in using standard computer hardware/software (i.e. MS Office web browsing SharePoint etc.) with excellent keyboarding skills.

  • Report writing skills including the use of spreadsheets tables and graphs.
