The Municipal Enforcement Assistant is responsible for providing administrative assistance to the Supervisor Enforcement Services and other Enforcement Services staff. The position supports all municipal enforcement functions as well as assisting the public with complaints information and advice which will require knowledge of municipal bylaws provincial legislation and a variety of other policies and procedures. The role also involves maintaining a variety of databases by gathering recording relating and updating accurate information from various sources. The position also supports the court process by preparing and forwarding all disclosable information in an accurate and efficient manner. This includes ordering all required reports from other provincial agencies.
KEY DUTIES AND RESPONSIBILITIES
Administrative Support (30%)
- Assists with preparing correspondence reports and other related materials as required.
- Provides administrative support to document meeting minutes.
- Assists the Enforcement Supervisor with office related reporting and workflows.
- In partnership with the Protective Services Assistant processes and codes account payables receivables and procurement card expenses to the appropriate general ledger.
- Oversees billing for Enforcement Services.
- Prepares yearly grant donations as required.
Public Interface and Response (30%)
- Provides timely and efficient customer service by responding to public inquiries relating to Protective Services by telephone email and in person.
- Enters and tracks public complaints to ensure concerns are triaged and sent to officers for follow-up.
- Ensures accurate record of public inquiries are kept.
- Coordinates and processes fire permits firework permits and dog licensing through online tools and public walk-ins.
- Acts as a Commissioner for Oaths as required.
Data Collection and Reporting (20%)
- Acts as key resource to support enforcement reporting systems to support consistent use and process improvement ensuring entries are accurate and complete.
- Reports a variety of statistical information regarding municipal enforcement activities.
Court Related Functions (10%)
- Supports the court process by preparing and forwarding all disclosable information in an accurate and efficient manner. This includes ordering all required reports from other provincial agencies.
- Processes charges prepares court documents and liaises with Crown Prosecutors.
Other Duties (10%)
- Perform special projects and tasks as required.
- Adheres to applicable responsibilities and accountabilities as outlined in the Sturgeon County Health and Safety Management System.
- Provides cross-coverage to the Protective Services Assistant role to support peak demand times and time off.
- Adheres to all of Sturgeon Countys policies bylaws procedures and processes as well as aligns work to the Sturgeon County values.
- Acts in related role to support disaster response which may include extended hours or off-site work during major emergencies.
KNOWLEDGE EDUCATION QUALIFICATIONS SKILLS ABILITIES AND EXPERIENCE
Required:
- Training or certificate in a related enforcement or office administrative field.
- A clear Criminal Record (Vulnerable Sector) with periodic renewal as required.
- A minimum of three (3) years of related administrative experience.
- Highschool Diploma
- Ability to read follow and understand processes procedures and policies to perform work in accordance with expectations.
- Ability to apply a forward-thinking approach while working to ensure that processes are efficient and operating as intended.
- Ability to take initiative be independent resourceful work under pressure and meet deadlines.
- Ability to work in a team environment or independently.
- Proven ability to effectively communicate in writing or verbally in a clear objective logical and sensible manner.
- Well-developed customer service skills.
- Mathematical aptitude.
- Ability to maintain confidentiality when dealing with sensitive situations and/or information.
- Proficiency when using all Microsoft Office Programs (Excel Word SharePoint and PowerPoint etc.).
- Experience working with a variety of software programs/databases.
Assets:
- Additional specialized training in police and/or justice procedures and functions.
- Experience working in enforcement or dispatching related roles.
- Knowledge of Sturgeon County Municipal Bylaws.
