Responsibilities:
The Administrative Support Specialist is responsible for managing first-year and transfer student data by overseeing projects connected to Orientation academic advising UNV 101: The First-Year Experience and other initiatives that support new University students. Additionally this position provides critical support to the Office of Academic and Advising Services. Key responsibilities include downloading and managing data organizing reports and ensuring consistency and stability within the office. The position also functions as an office manager requiring a solid working knowledge of all departmental operations. Additional duties include but are not limited to budget management and oversight supervision of student assistants creation and maintenance of spreadsheets/databases and management of office projects.
Qualifications:
A high school diploma/GED and three years of prior administrative support experience are lieu of experience a combination of college coursework and at least one year of administrative support experience will be considered. Experience must include working with data/databases.
Knowledge/Skills/Abilities:
Demonstrated ability to relate to and effectively engage with 1822-year-old college students serving as a welcoming and knowledgeable first point of contact for current students prospective students and their families.
Strong interpersonal and communication (verbal and written) skills with a demonstrated ability to work effectively with a variety of individuals and groups.
Highly motivated organized detail-oriented and proactive with the ability to manage multiple tasks and priorities independently.
Ability to change directions seamlessly to accommodate the varying projects and responsibilities of the Center.
Excellent customer service skills with the ability to answer questions and troubleshoot effectively in high-pressure or time-sensitive situations.
Knows how to use Microsoft Excel to create maintain and manipulate databases for tracking information.
Possesses basic accounting/budgeting skills to track the departmental budget and balance accounts.
Knows how to use current versions of Microsoft Word to generate a variety of documents (e.g. merge letters tables labels reports etc.).
Ability to work collaboratively with the team or autonomously to accomplish tasks in a timely and efficient manner.
Ability to initiate problem-solving strategies.
Desire to be a member of a work team.
Orientated toward detail work and comfort working with data in order to track populations of students and produce necessary reports.
Possesses basic supervision skills to effectively supervise student assistants when applicable.
Interest in and ability to learn new computer systems as regular use of the Student Information System is an important component of this job.
