Job Summary

Basic Function

HF Sinclair is seeking a Marine Scheduler in Dallas this role you will conduct entry to mid-level assignments for the Marine Transportation Department. Responsibilities will consist of assisting with ship operations to ensure safe and efficient operations and all aspects of operations for vessels to maximize HF Sinclairs commercial advantage. The position will have close and frequent supervision.

Job Duties

  • Communicates with vessel masters shipping agents port captains cargo charters cargo brokers surveyors vessel technical manager and any concerned parties in the tankship operation
  • Attends operational meetings to organize with 3rd parties such as charterer shipper receiver broker terminal agent surveyors and any concerned parties in the tankship operation.
  • Prepares monthly/yearly reports concerning tankship operations.
  • Prepares yearly/semi-annual budget and budget management in operation aspects.
  • Reports and records troublesome issues on vessels cooperates with concerned parties and responsible for following up to ensure the issue has been resolved.
  • Records vessel movement/cargo operation in the software management system.
  • Records chartering booking data in the software management system.
  • Creates Charter base (profit and loss in voyage) in software management system.
  • Assists with tanker Bill of Lading (B/L) (e.g. issuance and collection of B/L) to obtain a letter of indemnity from charterer/ broker through commercial channels and to instruct cargo release order for concerned parties by Charter Party provisions under supervision.
  • Processes and files all vessels documents (e.g. notice of readiness cargo operation log & timesheet ullage report protest letter etc.)
  • Updates vessels itinerary for charterer/ broker following Charter Party provisions.
  • Sends port time with shipping documents to charterer/broker following Charter Party provisions.
  • Issues freight invoices with supporting documents.
  • Assists with managing freight/demurrage collection status under supervision.
  • Assists Director in other duties as assigned.
  • Special assignments or tasks assigned to the employee by their supervisor as determined from time to time in their sole and complete discretion.

Experience

Professional experience in Commercial Oil & Gas examples include hydrocarbon scheduling voyage operations chartering trade settlements etc. Able to work with the following:

  • Internal: Freight Trading Commercial & Trading Supply Chain Customer Service Refineries Logistics Business Development Controllers Legal Product Quality Demurrage Claims Oil Loss and Marine Quality Assurance.
  • External: Suppliers Vessel Owners Charterers Brokers Agents Vessel Officers Inspectors and Terminal Operators.

Education Level

A minimum of a Bachelors Degree is required.

Required Skills

  • Work with peers to find timely solutions to supply and marketing interruptions when normal supply sources cannot provide material timely to meet the needs of the business
  • Strong safety focus
  • Exceptional verbal and written communication and negotiation skills with the proven ability to work collaboratively in a team environment
  • Extensive knowledge of Microsoft Office applications with intermediate skills in Microsoft Word and Excel
  • Data analysis experience required.
  • Excellent problem-solving skills.
  • Ability to work independently and with effectiveness.
  • Strong customer service orientation and team-player attitude a must.
  • Competent in the use of Microsoft Office.

Preferred Skills

Extensive knowledge of Veson IMOS voyage management system and vetting knowledge preferred.

Supervisory/Managerial Responsibility

None.

Work Conditions

Office based with up to 20% travel by land and air may be required and subject to all weather and varying conditions.
