Overview
The Clinical Services Coordinator I (Bilingual-Spanish) will provide clinical and administrative support functions for the CASSIs triage team and liaise with the Care Centers patients families and providers. This position requires the incumbent to be bilingual in English and Spanish with a proficiency level that meets the Institutes minimum standards.
Responsibilities
- Serve as a main contact to provide internal and external referral information for families and professionals.
- Triage referrals (with a focus on internal referrals) to include maintaining weekly and updated referral lists adding patients information into relevant systems/waitlist and sending out acceptance letters.
- Coordinate the intake process for families prior to their appointments to include brief screening assessments gathering background information/previous evaluations and providing resources to families while they wait.
- Support the medical informatics team by submitting patient data and surveys completing follow-up phone calls and sending no-response letters to families for missing/incomplete information.
- Provide administrative services to the clinic including but not limited to preparation of presentations directing phone calls/faxes to the appropriate staff copying collating/organizing materials filing equipment and resource maintenance mail distribution stocking staff lounge materials ordering supplies and submitting facilities work requests.
- Provide input on and assist with on-going assessments/adjustments of the clinics systems and processes with providers/therapists the director and supervisor to identify clinical organization and process improvement opportunities.
- Screen channel and prioritize clinically-related calls and correspondence according to clinic protocols. Refer patient and family communications as appropriate to other Kennedy Krieger Institute professionals including Nursing Social Work and therapeutic disciplines.
- Assist members of the triage team or other Institute clinicians as needed.
- Communicate and coordinate services between Care Centers/department clinicians/staff and external organizations regarding waitlist for services.
- Collect and assist families with completing forms/correspondence collect raw data from clinic providers and send information to Medical Records team patients pharmacies schools and physicians offices.
- Maintain a portion of the submissions of Individualized Education Programs and other patient documents for providers.
- Assist in all CASSI/clinic activities events and workshops (i.e. ROAR Open House Annual Autism Conference and Shared Treatment and Autism Resources (STAR)).
Qualifications
- High School Diploma GED or equivalent required.
- Associates degree in a human services related field or healthcare administration highly preferred.
- Minimum 2 years of related experience required.
- Administrative support experience in a medical office or clinic setting preferred.
- Some experience assisting developmentally disabled patients preferred.
