Job Description Summary

This is a one-year term position. The Marketing and Communications Coordinator will implement and coordinate promotional marketing initiatives communications web standards advertising initiatives utilize social media channels and support outreach programs and events the Creative Writing Program. This position requires a strong attention to detail the ability to adhere to tight deadlines.

Organizational Status

The position reports to the Administrator receives strategic direction from the Chair of the Program works with other CRWR staff faculty students and members of the university community to enhance and extend the profile of CRWR at UBC in Vancouver across Canada and around the world.

Work Performed

- Researches writes edits and produces communication material for the Program. This includes promotional and communication material for website print video brochure signage event coordination photo social media and advertising campaigns.

- Coordinates the development maintenance and content management of the department website and other project websites as required.

- Regularly reviews web content to evaluate effectiveness quality accuracy timeliness consistency and relevance.

- With UBC Marketing and Communications ensures the department s key branding standards are maintained consistently across all channels.

- Ensures the online presence adheres to UBC communications and brand standards.

- Advises and shares best practices with faculty and staff on development of communication pieces to ensure public-facing material are on-brand.

- Sits on communications event and related committees as necessary.

- Creates and publishes content to social media channels including Facebook Twitter and Instagram monitors and responds to comments.

- Participates in the planning and coordination of outreach and special events.

- In co-ordination with UBC Media Relations cultivates relationships with the media responds to media and public inquiries and tracks media exposure.

- Liaise with the communication teams in associated Faculties Departments and UBC Media Relations.

- Takes photographs of events portraits and activities; adheres to UBC Consent to Use of Image standards.

- Trains staff and faculty on software applications design templates and brand elements.

- Other Duties as Assigned.

Consequence of Error/Judgement

Errors in this position could be serious for the Program and/or Faculty and/or the University since it concerns the public image and profile of the Program on a provincial national and international level.

This position is critical to developing and maintaining community relationships for the Program. Misrepresentation or inaccuracies in materials advertisements media releases etc. will negatively affect relations with visitors stakeholders donors sponsors clients and artists and would jeopardize visitor and stakeholder relations and the reputation of the Creative Writing Program and UBC. Poor interpersonal skills would result in poor relations with other staff faculty departments and stakeholders.

The position reports to the Administrator of the Creative Writing Program and receives strategic direction from the Chair of the Program.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum four years of related experience or the equivalent combination of education and experience.

Preferred Qualifications

A University degree in a relevant discipline such as marketing communications journalism media relations/PR or Science degree with coursework in communication related areas is preferred.

- Ability to communicate effectively with the media and public relations agencies.
- Working knowledge of contemporary marketing and communications strategies and practices.
- Demonstrated experience working with a range of audiences including researchers community groups donors graphic designers etc.
- Ability to effectively use social media platforms at an advanced level (e.g. Facebook Twitter Snapchat).
- Ability to use website content management systems (e.g. WordPress Drupal) and the Microsoft suite of products (e.g. MS Outlook MS Word MS Excel MS PowerPoint).
- Experience in Adobe CC Wordpress Hootsuite MailChimp or similar design and marketing applications is a plus.
- Experience in Google Analytics Adwords and Facebook Ads is a plus.
- Exceptional interpersonal analytical skills as well as effective oral and written communication skills.
- Superior organizational and time management skills.
- Ability to work in a complex and demanding environment with a high level of attention to detail.
- Ability to effectively prioritize organize and schedule workload work under pressure meet budget limitations and deadlines.
- Ability to research understand and recommend new and evolving solutions.
- Ability to anticipate problems and issues and plan ahead.
- Ability to identify and correct missing and incomplete data.
- Ability to compose correspondence reports presentations and other written materials using clear concise business English.
- Ability to accurately proofread for spelling grammar and punctuation.
- Ability to exercise tact and discretion.
- Ability to work independently and as a member of a team.
- Knowledge of the Freedom of Protection of Privacy Act.
