University City Housing Company is seeking an organized motivated and professional Executive Assistant.The Executive Assistant is a trusted partner to the Managing Director responsible for keeping priorities clear processes moving and the executive focused on what matters most. This role goes beyond traditional administrative support it requires ownership sound judgment and the confidence to proactively manage workflows schedules and communication.The Executive Assistant acts as the right hand to the Managing Director filtering distractions anticipating needs and translating information into clear actionable insights. Because the Managing Director is a highly visual decision-maker this role requires the ability to organize information visually and concisely rather than relying solely on written email communication.This position offers exposure to complex business operations strategic initiatives and philanthropic efforts and is ideal for a highly organized self-directed professional who thrives in a fast-moving environment and follows through relentlessly.Key Responsibilities Include but are not limited to:- Executive & Operational Support
- Partner with the Managing Director on day-to-day oversight of company operations ensuring alignment with policies procedures and priorities
- Proactively manage the Managing Directors calendar meetings and commitments keeping them prepared on track and focused
- Maintain awareness of upcoming responsibilities issues and deadlines; follow up to ensure completion
- Meeting & Information Management
- Prepare the Managing Director for meetings by organizing agendas reports and briefing materials
- Present information in a structured visual and decision-ready format
- Handle sensitive and confidential information with discretion and professionalism
- Project & Administrative Management
- Support project management efforts including research budgeting vendor analysis and event planning
- Track progress across initiatives to ensure deadlines and deliverables are met
- Additional Support
- Assist with personal tasks special projects and ad hoc needs as they arise
Ideal Candidate Profile:- Bachelors Degree from an accredited college or university
- Valid drivers license and vehicle required
- Highly proficient with Microsoft Office Suite and ability to learn project management tools and other software systems
- Flexibility with hours and days worked
- Highly organized proactive and comfortable taking ownership
- Confident working independently while operating as a true partner to leadership
- Strong follow-through and attention to detail
- Able to translate complex information into clear visual and actionable formats
- Calm professional and adaptable in a dynamic environment
