Job Summary

JOB SUMMARY

The Assistant Director of Facilities supports the Director in overseeing daily operations across maintenance housekeeping and food services for ICL shelters. This role coordinates multidisciplinary teams performing essential repairsincluding carpentry plumbing and paintingwhile ensuring comprehensive grounds upkeep and logistical support for personnel and equipment. Additionally the Assistant Director manages facility documentation and implements safety protocols to ensure a secure high-standard residential environment.

ESSENTIAL JOB FUNCTIONS: List all essential job duties. 1. Assists in coordinating and engaging in the agency/program maintenance and repair projects including carpentry plastering minor electrical minor plumbing and installing or repairing locks as well as the maintenance of program grounds and vehicles. Monitors and participates as necessary.
2. Implements and follow established maintenance schedules perform regular site visits as directed and complete or oversee the completion of work orders in a timely and acceptable manner.
3. Based on workload and available staffing assists in assigned staff to assure that work is accomplished according to schedule and that staff is fully utilized. Arranges for reassignment of personnel to handle emergency projects.
4. Along with Director of Facilities for Shelters observes and inspects work while in progress and when completed to ensure that specific codes and regulations are followed materials and equipment are used properly scheduled are met and work is performed according to plan.
5. As assigned inspects work performed by outside contractors to ensure conformance with project specifications.
6. Prepares and maintains written records of work performed and completed and accounts for labor and material used.
7. Attend management meetings and take minutes and staff meetings to review agency policies directives and guidelines affecting the facilities management operation and personnel.
8. Provides instructions to staff about special procedures to be performed.
9. Participates in department on call-system when assigned responds promptly to beeper or phone request for emergency and special needs assistance.
10. Assists in regulatory inspections of building systems.
11. Acquires and maintains appropriate certification by the fire department and performs checks on a scheduled periodic basis.
12. Requisitions needed maintenance supplies and ensure the proper receipt storage distribution and safekeeping of materials.
13. Oversees the operation of work request and other departmental tracking systems; follows established procedures and submits documentation in a timely way.
14. Assigned by Director of Facilities for Shelters participates in activities related to the security of program building.
15. Monitoring food inventory levels and daily meal counts to ensure adequate supply accurate reporting and compliance with program and regulatory requirements.
16. Maintains service and repair agreements.
17. Assists in the identification and bid process for securing outside vendors as assigned.
18. Ability to perform all duties and tasks described in the job description of Facilities Maintenance Worker.
19. Performs other duties as assigned.

ESSENTIAL KNOWLEDGE SKILLS AND ABILITIES
Committed to the active promotion of ICL values and goals.
Working knowledge of the methods materials tools and equipment used in the mechanical electrical and/or building trades.
Working knowledge of the principles of supervision.
Working knowledge of applicable agency standards and of appropriate building and construction code regulations.
Working knowledge of safety procedures.
Ability to train and supervise others.
Ability to use computerized tracking systems; ability to learn and use all programs and software necessary to the efficient operation of the facilities management department.
Ability to read and interpret plans diagrams architectural blueprints and specifications.
Ability to make standard arithmetic computations to calculate the dimensions of the project or building under construction identify the proper placement of important structural components of the project or building.
Ability to use the tools machines equipment and the materials of the mechanical electrical and/or building trades.
Ability to understand and carry out oral and written instructions.
Ability to utilize the computer for basic reporting standards and inputting information onto spreadsheets.

QUALIFICATIONS AND EXPERIENCE

High School diploma or GED plus three (3) years of direct supervisory experience overseeing facilities staff vendors or maintenance teams. Supervisory experience should include managing and scheduling facilities and maintenance staff across multiple shifts and/or sites. Training coaching and evaluating staff performance. Enforcing safety standards compliance requirements and organizational policies. Coordinating work assignments meeting and responding to urgent operational issues. Specialized/Technical Experience may include oversight of preventive and corrective maintenance programs. Working knowledge of building systems (HVAC plumbing electrical life safety). Experience coordinating licensed trades contractors and inspections. Experience managing work orders vendors compliance documentation and capital or repair projects. Experience in excel Microsoft word creating spread sheets. Familiarity with NYC building fire and health codes as well as DOHMH and DHS standards (preferred). Possession of a clean valid NYS drivers license and maintain a good driving record.
