Position Summary: The Receptionist serves as the first point of contact for Viwinco welcoming visitors and handling all incoming calls with professionalism and courtesy. This position plays a vital role in supporting Viwincos goal of becoming a World Class organization by maintaining a positive organized and customer-focused front office environment. |
Primary Responsibilities: - Greet all visitors including customers and walk-in applicants; ensure they complete the visitor log.
- Direct visitors to the appropriate department or contact person.
- Display a professional courteous and helpful demeanor at all times.
- Help foster a clean organized and welcoming front office environment aligned with Viwincos World Class standards.
- Answer all incoming calls by the second ring with a courteous and professional tone.
- Screen and direct calls to the appropriate person or department.
- Take and relay accurate messages when needed.
- Sort and distribute all incoming mail and invoices.
- Sort and file PODs (Proof of Delivery) documents accurately.
- Assemble and distribute Viwinco catalogs upon request.
- Set up a welcome sign for visiting guests and tour groups.
- Order product literature from the OB department and manage the literature room inventory.
- Pack and ship literature and sales tools to customers using the Viwinco truck.
- Scan out rolling displays hand samples and bucks with hand scanner.
- Provide backup support to the Customer Service team.
- Take memos from customer service department out to production and shipping.
- Manage the shipment of UPS parts in response to homeowner requests.
- Procure office supplies to support company operations.
- Coordinate and arrange lunches for company tours.
- Perform other tasks as deemed necessary by management.

Requirements: - High school diploma or equivalent required.
- Prior receptionist or administrative experience preferred.
- Strong verbal communication and interpersonal skills.
- Professional appearance and customer-service oriented mindset.
- Proficient in Microsoft Office and basic computer applications.
- Ability to manage multiple tasks with accuracy and efficiency.
- Positive attitude and willingness to support various departments as needed
- Bilingual (Spanish) a plus
