Job Summary:
The Import & Export Coordinator takes on more responsibility in managing the logistics of cross- border shipments. They analyze and optimize trade routes calculate tariffs and duties and ensure compliance with international trade agreements. This role requires a good understanding of supply chain logistics and the ability to work with customs brokers and freight forwarders to streamline import and export processes. The Import & Export Coordinator is responsible for the full administration of Import & Export shipments including the inbound and outbound delivery of manufactured products from external Xylem manufacturers and suppliers to the raw material/finished goods warehouse
Primary functions
- Manage inbound and outbound scheduling (Road and Air and Sea freight deliveries)
- Responsible for preparing customs clearances
- Ensure compliance with all NAV requirements
- Source and monitor competitive road air and sea freight rates in collaboration with the Distribution Services Leader and Procurement Team
Imports
- Liaise with freight forwarders to coordinate inbound FCL LCL air and road shipments to Xylem sites
- Coordinate with Goods-In and shipment planning teams providing status updates and required documentation via email
- Obtain and manage import shipping documentation from suppliers and internal stakeholders
- Source and evaluate road air sea and courier import quotations recommending optimal cost-to-service solutions
- Prepare and manage import customs clearances including invoice verification and coordination with customs brokers
- Ensure full compliance with NAV and other applicable customs regulations
- Liaise with customs authorities as required and support audits or official inspections
- Prepare and maintain regular import-related reports
Exports
- Prepare and manage export documentation for internal and external customers
- Coordinate with appointed freight forwarders and carriers to arrange collections from Xylem sites
- Manage export documentation requirements for both EU and non-EU shipments
- Prepare export customs clearances including invoice verification in cooperation with Finance and Customer Service
- Monitor shipment volumes and coordinate pallet collections with freight forwarders
- Source and evaluate road air sea and courier export quotations recommending cost-effective solutions
- Prepare and maintain regular export-related reports
- Ensure control and compliance of all customs and shipping documentation
Compliance Management
Ensure compliance with all relevant laws and regulations
Stay updated on changes in import and export regulations
Conduct audits to identify and address any compliance issues
Process Improvement
Evaluate current import and export processes and identify areas for improvement
Implement process improvements to increase efficiency and reduce costs
Train and educate team members on new processes and procedures
Continuously monitor and evaluate the effectiveness of implemented changes.
Qualifications & Skills
- In-depth knowledge of customs procedures and import/export documentation
- Proficient in Microsoft Excel and Word with strong email communication skills
- Experience working with ERP systems in a logistics or supply chain environment
- Good command of English both written and verbal
- Strong analytical and problem-solving skills
- Excellent communication skills and the ability to work collaboratively in a team environment
