Position Description

St Francis Xavier University which offers Canadas premier undergraduate experience is seeking an Academic Services Assistant to join the Admissions Department full-time. Reporting to the Associate Registrar Admissions this position will be part of an integrated team working in a collaborative shared work environment providing superior service to prospective and current StFX students.

Key Responsibilities

  • Receive and process admissions documents with a high level of efficiency and accuracy including entering applications transcripts language tests supplemental information
  • Confirm with students the specific documentation received and the necessary documents outstanding to be received.
  • Ensure accurate data entry for updating file information such as name address and email changes.

Qualifications

  • Completion of a post-secondary certificate or diploma in a related field (office administration business) or equivalent experience.
  • Ability to complete repetitive tasks with a high degree of accuracy and attention to detail.
  • Demonstrated experience and ability working in a time-sensitive and high volume environment with changing and conflicting priorities and frequent interruptions.
  • Superb customer service skills with demonstrated excellence in customer service communication.
  • Proficiency working in an Office 365 environment. Familiarity and experience with student information systems (Banner) are considered an asset.
  • The ability to work well with others maintain cooperative and effective working relationships in a team environment.

About the Recruitment and Admissions Department

The Recruitment and Admissions team play a key role in supporting prospective students throughout the full admissions process. Managing all incoming inquiries they provide guidance on applications program selection and admission requirements. Responsibilities include receiving and processing applications and supporting documentation communicating admission decisions and working directly with students to help them feel confident in choosing StFX. From initial inquiry through enrollment and arrival on campus the team supports applicants at every stage of the admissions cycle.
