Job Summary:
The Diagnostic Imaging and Laboratory Coordinator is responsible for performing administrative functions within the Diagnostic Imaging and Laboratory departments. This role encompasses overseeing daily office operations managing workflow and implementing administrative processes.
Duties/Responsibilities:
Provides administrative support to the Diagnostic Imaging Management Team and Laboratory Management team.
Oversee daily office functions ensuring the efficient management of schedules communications and record-keeping.
Schedule appointments meetings and departmental events; handle room bookings and prepare meeting agendasand materials.
Record and distribute meeting minutes ensuring timely follow-ups on action items.
Develop and maintain departmental templates for newsletters calendars schedules and other communicationmaterials.
Manage internal and external communications including drafting emails memos reports and presentations.
Proofread edit and prepare documents and policies for accuracy consistency and compliance with organizationalstandards.
Coordinate travel arrangements for departmental staff including booking flights accommodation and
transportation.
Handle complex paperwork related to employment matters such as onboarding of new hires training andcompetency documentation tracking and other organizational employee requirements.
Maintain departmental records both digital and physical ensuring accuracy confidentiality and accessibility.
Manage office supplies inventory and equipment ensuring resources are readily available and functional.
Assists in reviewing attendance timesheets and payroll records.
Maintain accurate records of completed reports scans and other documents related to Diagnostic Imaging andLaboratory.
Work effectively with all members of the healthcare team to ensure the delivery of comprehensive quality care toall customers.
Handles telephone information requests with courtesy accuracy and respect for confidentiality.
Assists in the timely renewal of Diagnostic Imaging and Laboratory facility licenses (e.g. CDPH and CLIA)maintenance and service contracts from vendors.
May be assigned to other operational tasks audits and projects.
Ensure required licensures and BLS/certifications are current for all staff and applicable physicians.
Conducts initial departmental walkthroughs for Laboratory and Diagnostic Imaging new hires including workspacelayout reporting points and safety resources.
Keep track of on-going projects and provides summary to Management team.
Create project or proposal presentations as requested.
Manage special projects including coordinating large departmental events preparing reports and overseeingprocess improvement initiatives.
Work closely with Human Resources and the Department Director to ensure the administrative team adheres to organizational policies and procedures. Other duties as assigned.
Required Skills/Abilities:
Excellent organizational skills with the ability to manage multiple tasks priorities and deadlines.
Strong problem-solving skills with the ability to make decisions quickly and efficiently.
High level of attention to detail in managing documents schedules and communications.
Extensive knowledge of office management systems including scheduling software records management andcommunication tools.
Excellent written and verbal communication skills with experience in drafting professional correspondence.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) or similar software.
Ability to maintain discretion and confidentiality when dealing with sensitive information.
