HEALTH PROGRAMS:

A leader in the eradication and elimination of diseases the Center fights six preventable diseases - Guinea worm river blindness trachoma schistosomiasis lymphatic filariasis and malaria in Hispaniola - by using health education and simple low-cost methods. The Center also strives to improve maternal and child health in Sudan and Nigeria and improve access to mental health care globally.

These efforts have brought to resource-limited countries better disease surveillance and health care delivery systems. Because communities often are burdened by several diseases the Center also is pioneering new public health approaches to efficiently and effectively treat multiple diseases at once.

In all our work an emphasis is placed on building partnerships for change among international agencies governments nongovernmental organizations corporations national ministries of health and most of all with people at the grass roots. We help acquire the tools knowledge and resources they need to transform their own lives building a more peaceful and healthier world for us all.

JOB SUMMARY:

The Program Assistant is responsible for providing administrative support to the River Blindness Lymphatic Filariasis Schistosomiasis and Malaria Programs (RB/LF/SH/ML) by handling logistics and planning of meetings and conferences; preparing and processing travel; assisting staff with administrative functions; assisting in the submission of publications; handling office communications; maintaining office functionality; submitting program procurement orders; researching information for reports and presentations; financial tasks such as invoice submission; drafting program reports and correspondence; and completing special projects as assigned by the team. The Program Assistant reports to the Associate Director.

This position may require periodic international travel and re-entry into the United States. Due to the travel locations Hostile Environment Awareness Training (HEAT) may be required.

JOB DESCRIPTION:

  • Provide administrative operational and logistical support to program teams to ensure efficient day-to-day operations within an NGO environment.
  • Manage calendars meetings scheduling and internal coordination using Outlook SharePoint and related tools.
  • Coordinate domestic and international travel logistics for staff and consultants including documentation reimbursements and briefing materials.
  • Manage procurement shipping inventory office supplies and equipment maintenance for U.S. and country offices.
  • Plan and execute logistics for meetings conferences and major program events.
  • Serve as a professional point of contact for visitors stakeholders vendors and internal partners; route phone and email inquiries as appropriate.
  • Draft format edit and support preparation of documents presentations reports and manuscript submissions.
  • Maintain program files documentation manuals and records in SharePoint and physical archives; support policy and records management initiatives.
  • Support onboarding and orientation activities for new staff.
  • Complete special projects requiring research analysis and report preparation; collaborate across programs as needed.
  • Maintain professional growth through training continuing education and organizational resources.
  • Performas additional related responsibilities as needed.

MINIMUM QUALIFICATIONS:

  • A high school diploma or equivalent AND five years of administrative experience OR a bachelors degree.
  • Proficiency with various computer software applications.

PREFERRED QUALIFICATIONS:

  • A bachelors degree in business administration communications public health or a related field and three years of office administration senior administrative or related experience OR seven years of office administration senior administrative or related experience.
  • Candidate must be able to work in a fast-paced environment supporting multiple staff members.
  • Exemplary organization time management and communication skills.
  • Proficient in SharePoint and Teams. Advanced in Excel Outlook PowerPoint and Word.

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to The Carter Center on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines. All non-exempt employees must reside within the state of Georgia.
