About the role

The Office Manager ensures the smooth and efficient running of the Italian office providing highquality support across office operations facilities coordination and general administrative activities.


This opportunity is a maternity cover role which also includes coordination of Health Safety & Environment (HSE) activities supporting compliance with Italian regulations and company standards.

Key Responsibilities

1. Office & Facilities Management

  • Oversee daytoday office operations and ensure a wellfunctioning work environment.

  • Act as the primary contact for building management suppliers and service providers.

  • Manage office supplies equipment meeting rooms and shared spaces.

  • Coordinate maintenance and repairs ensuring minimal disruption.

  • Support onboarding/offboarding of employees (badge creation workstation setup office tour).

2. Administrative & Organizational Support

  • Manage incoming and outgoing mail courier services and general correspondence.

  • Organize travel arrangements business trips and logistics when required.

  • Support internal events meetings and workshops (logistics catering materials).

  • Maintain administrative documentation company records and office procedures.

3. HSE (Health Safety & Environment) Coordination

  • Support the implementation and monitoring of HSE policies and procedures in accordance with Italian laws (e.g. . 81/2008).

  • Collaborate with the RSPP (Responsabile del Servizio di Prevenzione e Protezione) and the HSE function to ensure regulatory compliance.

  • Coordinate periodic safety trainings emergency drills and onboarding HSE briefings.

  • Ensure proper documentation and maintenance of safety records.

  • Follow up on incident reporting risk assessments and related preventive actions.

  • Promote a culture of safety and environmental awareness in the workplace.

4. Vendor & Budget Coordination

  • Manage contracts and relationships with office-related vendors (cleaning IT support catering etc.).

  • Support tracking of office-related expenses and budget monitoring.

  • Ensure costefficient and highquality service delivery.

5. Support to People & Culture (Optional based on company setup)

  • Assist with HR-related coordination such as documentation scheduling interviews or supporting employee engagement activities.

About You

  • Proven experience (35 years) in office management administration or facilities coordination.

  • Experience with HSE processes and basic knowledge of Italian health and safety regulations (preferred).

  • Fluency in Italian and good proficiency in English.

  • Strong organizational skills attention to detail and ability to manage multiple priorities.

  • Excellent communication and interpersonal skills.

  • Ability to work independently and collaborate across teams.

  • Proficiency in Microsoft 365 and general office technologies.
