Job Summary

The Executive Assistant to the President and CEO provides high-level administrative operational support to the President and CEO and through the President and CEO to the Board of Directors as needed.


This role ensures the smooth operation of executive functions with a primary focus on enabling the effectiveness of the President and CEO. The Executive Assistant serves as a trusted partner to the President and CEO supporting executive communications and schedule coordination of high-level internal and external relationships and internal office operational support.



Responsibilities
- Provide high-level administrative operational support to the CEO.
- Ensure effective executive office operations and supports the Board Secretary with board administration.
- Serve as the primary point of contact for the CEO with internal and external stakeholders via phone email and in-person interactions.
- Manage the CEOs calendar including scheduling prioritizing and coordinating meetings events travel and conference calls.
- Communicate scheduling needs resolve conflicts proactively and coordinate with team members to optimize executive office productivity.
- Draft proofread and prepare correspondence presentations and meeting materials ensuring alignment with the CEOs preferred tone and style.

- Conduct research and prepare summaries reports and recommendations as assigned.
- Exercise discretion judgment and organizational knowledge to facilitate executive activities and maintain confidentiality.
- Support the Board Secretary to schedule plan and provide notices for board meetings as needed.
- Assist the Board Secretary to prepare assemble and distribute meeting materials agendas minutes resolutions and annual conflict of interest statements.
- Attend meetings record minutes and ensure timely follow-up on action items.
- Build and maintain positive strategic relationships at all levels of the organization including senior leaders board members administrators and external partners.
- Perform other duties as assigned to support the CEO Board of Directors and senior leadership.
- Perform office support tasks such as inventory supply orders and other necessary operational functions as requested by the CEO and senior leadership.
- Maintain confidentiality and professionalism in all interactions.


Skills and Qualifications
- Strong Microsoft Office Suite (Word Excel PowerPoint) and Google Suite skills.
- High level of detail orientation with the ability to multitask in a fast-paced environment.
- Strong project management and communication skills.
- 1 years calendar management and administrative experience.
- 1 years providing support to C-level executives.
