ADMINISTRATIVE SUPPORT TECHNICIAN - LIMITED SERVICE

The City of Concord is accepting applications for part-time Limited Service Administrative Support Technician positions. This recruitment is open until filled and may be used for vacancies City-wide. The current vacancies are in the Human Resources Department and the Engineering Division of the Community Development Department.

What you will be doing:
The Administrative Support Specialist in the Human Resources Departmentworks primarily with the Recruitment and Selection division but may provide assistant to any division in the department. This position performing duties in support of the pre-employment and recruitment processes andfocuses heavily on customer service through phone and email to both internal and external customers.

This is a part-time limited service position. The schedule is approximately 30 hours per week generally between 8:30 a.m. and 5:00 p.m. Monday through Thursday excluding holidays.

The Administrative Support Specialist in theEngineering Division of the Community Development Departmentwill support the division with a variety of administrative tasks across the Capital Improvement Program and the Current Development teams requiring proficiency with Microsoft tools. This position will support the increasing demand for coordination and administrative support across the Citys road and infrastructure programs.

This is a part-time limited-service position. The schedule is approximately 30 hours per week generally between 8:00 am to 5:00 pm excluding holidays.


When assigned to Human Resources the ideal candidate:
  • Has experience performing clerical and technical duties in support of pre-employment and recruitment activities
  • Is highly detail oriented
  • Has strong accurate data entry skills and pays attention to detail
  • Has the ability to organize multitask prioritize and work under pressure at times
  • Possesses excellent customer service skills

When assigned to Engineering the ideal candidate:
  • Has experience performing clerical and technical duties in support of agreements preparation handling insurance documentation responding to complaints and working in a fast-paced environment
  • Is highly detail oriented taking meeting notes and preparing reports using pivot tables
  • Has strong accurate data entry skills and pays attention to detail
  • Has the ability to organize multitask prioritize and work under pressure at times
  • Possesses excellent customer service skills
  • Has the ability to work productively with internal and external customers
  • Has proficiency with Microsoft Word Excel Outlook Teams and (desirable) Onbase Client and Accela
  • Has strong oral and written communication skills
  • Is punctual and professional
  • Embraces promotes and is guided by the Citys Mission Vision and Values

SELECTION PROCESS
  1. Submit a completed City of Concord application and the required supplemental question responses online at qualified applications and supplemental responses will be competitively evaluated and those candidates demonstrating the strongest qualifications will be invited to interview.

Examples of duties include but are not limited to

When assigned to Human Resources:

  • Schedules physical examinations orders background investigations and provides departments with results for part time candidates
  • Prepares and compiles materials related to recruitment functions
  • May assist in scheduling or proctoring interviews and exams
  • May assist in reviewing application materials and other recruitment and selection activities
  • Operates computerized recordkeeping systems to enter or retrieve information; prepares and maintains records and reports on activities
  • Other duties as assigned.

When assigned to Engineering:
  • Compiles and manages contracts and agreements with strong attention to detail
  • Administers insurance and bond documentation for construction contracts
  • Responds to and resolves complaints through the Citys public engagement system using clear professional and customer-focused language
  • Handles incoming phone calls with an emphasis on high-quality customer service
  • Works effectively within a multi-disciplinary cross-functional team environment
  • Manages emails and service requests from diverse stakeholders in a fast-paced setting

Qualifications

Knowledge of:

  • Alphabetic and numeric filing indexing and cross-referencing methods
  • Basic arithmetic
  • Office work procedures and practices including the operation of commonly used office machines
  • Word processing applications likeWord Excel and Publisher
  • Principles and processes for providing internal and external customer service

Ability to:
  • Work with complex and sensitive files and record systems
  • Make simple mathematical calculations
  • Understand and carry out oral and wrtten instructions
  • Convey written and/or non-written information effectively
  • Quickly search and find information from resource systems manuals and other documents and accurately and concisely convey such information orally and in writing
  • Give appropriate attention to what other people are saying taking time to understand the points being made and asking questions as appropriate
  • Maintain appropriate attention to detail based on the complexity of work performed
  • Shift back and forth between two or more activities or sources of information and to work efficiently and accurately on tasks with interruptions

Education: Satisfactory completion of high school or equivalent. Select assignments may have additional requirements.

Experience
: Two years of customer service experience. Select assignments may have additional requirements.

Other

License: Select assignments may require the possession of a valid California Class C Drivers License and a satisfactory driving record as a condition of initial and continued employment.
