Job Summary

The Executive Secretary will provide comprehensive administrative support to executives ensuring the smooth operation of daily activities. The ideal candidate will have a strong command of English Construction based experience a high level of professionalism and the ability to manage multiple tasks efficiently in a fast-paced environment.

Requirements
Key Responsibilities:

  • Manage and organize executive schedules meetings and travel arrangements
  • Handle and prioritise incoming calls emails and correspondence
  • Prepare and edit reports presentations and other business documents
  • Maintain an organized filing system ensuring easy access to key documents and information
  • Coordinate meetings conferences and events for the management team
  • Take minutes at meetings and ensure accurate records are kept
  • Manage office supplies and equipment ensuring that the office runs smoothly
  • Draft and send routine communications and business correspondence
  • Assist in the preparation and review of contracts reports and other documents
  • Maintain confidentiality and handle sensitive information with discretion
  • Perform other administrative tasks as assigned by executives


Requirements

  • Proven experience as an Executive Secretary Personal Assistant or similar role
  • Strong organizational and multitasking skills with a keen attention to detail
  • Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook)
  • Excellent written and verbal communication skills
  • Ability to work under pressure and meet tight deadlines
  • Strong interpersonal skills and a professional demeaner
  • Discretion and confidentiality when handling sensitive information
  • Ability to handle multiple tasks efficiently and proactively
  • Strong time management and problem-solving abilities
  • A bachelors degree or equivalent in Business Administration or a related field (preferred)
