General purpose of Job:
The Office Manager is responsible for ensuring the smooth day-to-day operation of the office. They will serve as the first point of contact for visitors clients and employees while also providing essential administrative support. The ideal candidate is people-oriented highly organized proactive and skilled in managing multiple priorities in a fast-paced environment.
Essential Duties:
Culture & Engagement:
- Serve as a champion of Infinitys culture by working collaboratively with other departments to develop and implement initiatives that foster a positive fun and team-oriented workplace.
- Lead by example in demonstrating humility teamwork positivity and a can-do attitude.
- Organize and facilitate monthly company lunches and special company events that strengthen team bonds.
- Promote a supportive culture by facilitating the recognition of employee anniversaries and significant life events (i.e. home purchases weddings family illnesses).
- Collaborate with HR to support new employee onboarding process to ensure a smooth transition into the company.
Office Operations:
- Order and manage office supplies including stocking snacks and beverages and ensure that office environment is well maintained welcoming and enjoyable.
- Assist team members with coordinating and ordering team lunches and provide support for conference planning activities. Conference support includes assisting with logistics ordering and preparing marketing and promotional gifts and ensuring materials are organized and ready for distribution at events.
- Serve as primary receptionist. Always make visitors/employees feel welcomed both in person and on the phone. Receive sort and distribute daily mail/deliveries/couriers.
- Act as the primary liaison for building services addressing maintenance issues and ensuring a functional workspace.
Administration:
- Support the accounts payable process through the timely and accurate processing of vendor invoices reconciliation of discrepancies with employees and vendors adherence to sales/use tax procedures and a thorough knowledge of the companys chart of accounts.
- Manage cash receipts through the processing of checks received from customers and accurate data entry of the information into the computer database.
- Perform month-end duties as assigned by the Controller and provide back-up support for other accounting positions.
- Other duties as assigned as needs of the company change.
Performance Measurement: Performance feedback will take place both verbally and written on a day-to-day as needed basis with a formal review by the supervisor at least annually.
Education and/or Experience:
Associates Degree (A.A.) from a college or technical school or 2 years related experience or equivalent combination of education and experience. Internet excel (Intermediate) word processing and e-mail experience necessary.
Language Skills:
Ability to communicate effectively with vendors and employees of organization. Ability to read and interpret documents such as procedure manuals and company policies. Ability to write procedures correspondence and routine reports.
Reasoning Ability:
Ability to manage time and prioritize tasks in order to complete a variety of different tasks in a given time. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to apply common sense understanding to carry out detailed written or oral instructions.
Mathematical Skills:
Ability to add subtract multiply and divide in all units of measurement and weight using whole numbers common fractions and decimals. Ability to compute rate ratio and percent and draw and interpret bar graphs.
Physical Demands
While performing the duties of this job the employee is regularly required to sit use hands to finger handle or feel; and talk or hear. The employee is frequently required to stand and walk. The employee may occasionally be required to lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision distance vision color vision and ability to adjust focus.
