ABOUT THE ROLE
This position is responsible for supporting the Project Management Office (PMO) with effective project scheduling and planning; leading developing and maintaining best practice processes for scheduling of projects; supporting the delivery of timely accurate and consistent schedule and milestone reporting and communication to internal and external stakeholders; reviewing and ensuring consistency in the scheduling process for projects across the key stakeholder groups; maintaining standardized tools methodologies and technologies for schedule management; assisting project managers and workstream leads in the delivery of the project plan and improving project performance; analyzing and integrating project schedules; interfacing project schedules with project budgets and achieving efficient cash flow forecasting through consistent scheduling development; leads training and builds capacity in project teams including external vendors on schedule management.
WHAT YOULL BE DOING
- Supports Project Managers and workstream leads in the effective management and control of the project principally in the areas of project planning project monitoring and control and integrated project management.
- Manages assigned aspects of the project lifecycle and works with relevant project stakeholders as directed by the Integrated Project Manager (PM) and Director PMO.
- Manages project RAID Log and logs monitors and controls project change requests (PCRs).
- Tracks resources across different workstreams ensuring appropriate security controls are in place for staff joining and/or leaving the project.
- Assists in managing/validating financial forecasts and provides ongoing reconciliation of resources and other related project expenditures; investigates issues and provides further information to Integrated PM as requested.
- Assists in the planning preparation and maintenance of project team schedules documents work plan updates maintains project issues logs and databases. Escalates early warning signs and deviations from the plan to the Integrated PM.
- Assists the Integrated PM in developing project artifacts including charter integrated plan resource plan contingency plan and related PM artifacts while complying with applicable corporate standards.
- Performs other duties as assigned in accordance with Branch and Department objectives.
WHAT WERE LOOKING FOR
- Successful completion of a Community College Diploma in Business Administration Project Management or related field or approved equivalent combination of education and experience.
- Minimum three (3) years demonstrated experience in project management systems support and/or scheduling analysis in related solution delivery.
- Demonstrated experience with financial systems data tracking budget processes variance activities and report generation.
- Demonstrated experience and ability on functional and technical levels of MS Project Online and MS Project Premium and ability to develop monitor and maintain project schedules in an enterprise environment.
- Demonstrated understanding of project management concepts as outlined in the Project Management Institutes (PMIs) Project Management Book of Knowledge (PMBOK) as well as the major phases in software solution project delivery.
- Computer literacy utilizing MS Office software applications MS Project SharePoint and Power BI.
- Investigative analytical and problem-solving skills to research issues and recommend solutions.
- Knowledge and demonstrated ability in corporate core competencies including communication innovation teamwork and collaboration and personal ownership.
- Experience in developing implementing and delivering training sessions and materials relating to scheduling and/or project management.
- Demonstrated facilitation communication and interpersonal skills.
- Demonstrated ability to coordinate plan implement and evaluate programs for customer service.
- Ability to work independently and co-operatively in a team environment.
- Ability to travel to offsite locations in a timely and efficient manner as required.
- Ability to work outside regular business hours as required.
