Background Information:
  • The purpose of this procurement is to procure and nbsp;one and nbsp;Senior and nbsp;Project Coordinator required to and nbsp;support and nbsp;the Clinical Data Foundation (CDF) Program. and nbsp;

Must haves:
  • College diploma or university degree in a related field.
  • 3 5 years of experience in providing project coordination services and managing small projects in an IT Organization.
  • Demonstrated knowledge of project cost accounting principles and practices and managing project budgets.
  • Excellent Communication skills both verbal and written and strong stakeholder engagement skills and nbsp;
  • Demonstrated ability to work well with various groups of internal and external clients within business units while demonstrating customer service
  • Solid organizational skills including multitasking collaboration and time-management while demonstrating attention to detail
  • Experience with MS Office including MS Teams document repository and Excel and nbsp;

Responsibilities:
  • Develop draft and manage project management artifacts such as agendas presentations minutes project charters project logs (action issue risk and decision) integrated project plans lessons learned and project close out documents.
  • Follow-up on team member commitments and proactively identify and track risks and issues.
  • Prepare submit and track technical requests for change (RFCs) and monitor/report on their execution to support project delivery and nbsp;
  • Issue project change requests (PCRs) as applicable in response to changes in scope schedule budget
  • Helps the PM/Sr. PM manage scope timeline and costs and takes appropriate action when needed to achieve project objectives in accordance with business needs/expectations.
  • Helps the PM/Sr. PM create detailed project plans by identifying and engaging required subject matter experts.
  • Manages the project onboarding and offboarding processes and grants vendor access to the appropriate tools when needed.
  • Liaise with the PM/Sr. PM and vendor contacts to validate vendor invoicing for the project.
  • Keeps team members appropriately informed and ensures project resources and tools are readily available.
  • Leads/controls meetings and keeps discussions on track to accomplish goals.
  • Acts as backup to a project manager or manages some work packages.
  • Builds strong relationships with internal clients and external stakeholders.
  • Supports team and team members to achieve success.
  • Suggests strategies/means of improving performance of the projects to the Project or Senior Project manager for consideration/approval.
  • Enables and encourages people; ability to gain respect and trust.
  • Builds strong team spirit based on trust and focus on common goals.
  • Focuses on improving healthcare delivery in the province through positivity and being engaged.
  • Participates in continuous learning in the relevant professional area(s) and leverages acquired knowledge to improve project delivery in the organization.

General Skills: and nbsp;
  • Experience collaborating with various groups to gather updates and maintaining project budgeting progress reporting action items risk management updates etc.
  • Experience working alongside project managers to provide updates escalate where required identify risks and lead project document deliverables
  • Demonstrated experience working in a professional environment supporting multiple project managers and critical projects.
  • Experience developing project status reports and maintaining and monitoring status reporting logs
  • Experience scheduling meetings
  • Experience monitoring project document repository and ensuring all documents are reviewed and maintained in the repository

Desired Skills:
  • Demonstrated excellent project management software skills and experience e.g. MS Project Planview etc.
  • Understanding of basic Project Management concepts (e.g. project goals risk scope participant roles planning cost and quality management)
  • Experience in procurement process and vendor management is an asset.
  • Knowledge/expertise of current technology trends is an asset.

Required Experience / Evaluation Criteria: and nbsp; and nbsp;
  1. Demonstrated experience as a Project Control Officer in an IT Organization. 20 Points
  2. Previous work experience supporting multiple projects concurrently .10 and nbsp; and nbsp;Points
  3. Strong communication skills: verbal written active listening conflict resolution and stress tolerance. 20 and nbsp;Points
  4. Experience with budgeting and financial management. 10 and nbsp; and nbsp;Points
  5. Demonstrated experience with project management software such as MS Project MS Office etc.. 10 and nbsp;Points
  6. Skilled in creating tracking and maintaining project documentation and reporting; detail oriented.15 and nbsp;Points
  7. Experience working with internal clients and business units within an IT environment. 15 and nbsp;Points

Deliverables
Deliverables Include:
  • Create clear content for artifacts prepare project charters/plans elicit information from subject matter experts and lead meetings.
  • Organize lead/control meetings and keep discussion on track and accomplish goals.
  • Create detailed work streams manage project scope timeline and costs to achieve project objectives in accordance with business needs/expectations.
  • Review Budget and nbsp;

Knowledge Transfer Details:
  • The resource will ensure full knowledge transfer is provided to the Ontario Health team before end of engagement. Some of this might occur at the end of the engagement but will also be shared as information is obtained/consolidated. Key deliverables will be shared with team.
  • The resource must provide all related documentation as part of knowledge transfer protocol. Documents will be reviewed by the appropriate leads and signed off by manager/director.
  • The resource will work collaboratively with the Ontario Health team throughout the assignment and ensure key deliverables milestones and documentation are shared.
  • A walkthrough of any demos development etc. will be required before the end of the engagement.
