As an Executive Assistant you will proactively support the Group Deputy General Counsel (Corporate) along with members of the Governance Enterprise Risk Management team. Primarily the role will be to support the GDGC providing a comprehensive confidential and professional service on a day-to-day basis whilst providing administrative support to the ERM team as and when required.
The role will report into the EA to the Group General Counsel & Chief Customer Care Officer and will assist in ensuring an overall efficient service is delivered to the Governance ExCo team and function.
- Provide comprehensive secretarial support to the Group Deputy General Counsel whilst always maintaining confidentiality regarding business customer and personal data.
- Occasionally provide administrative support to the Enterprise Risk Management team.
- Manage and organise the diary of the GDGC prioritising meetings as and when necessary and acting as a point of control for unsolicited meeting requests.
- Arrange meetings and events as required by team management.
- Work to ensure that materials for meetings such as meeting packs are created and distributed in a timely manner to all designated parties following up on documents that are to be included in the packs.
- Produce letters reports presentations and e-mails as required by the GDGC.
- Arrange all relevant travel and accommodation via the company travel system for the GDGC whilst adhering to the company travel policy.
- Process expense claims for the GDGC in a timely manner using the online expenses system.
- Undertake ad hoc duties for senior management as and when instructed by the GDGC.
Qualifications :
- Proven experience in executive support or a similar role within a corporate environment.
- Experience within a fast-paced ever-changing environment.
- Strong communication organisational and time-management skills.
- Ability to handle confidential information with discretion.
- Ability to manage multiple streams of work and prioritise a heavy workload effectively.
- Proficiency in office software and travel arrangements.
- Experience working with a wide range of internal stakeholders and third-party partners.
