GENERAL SUMMARY
The Surgical Scheduleris responsible forscheduling surgeries for a multispecialty outpatient surgical officecheckpatients out from consultations and scheduling recommendations. Responsibilities include coordinating surgical procedures with Operating Room scheduling and obtaining pre-operative testing writing and communicating surgery orders including ICD-10 and CPT codes obtaining clearances from requested specialties guiding patients through the surgical process and collecting necessary documentation for surgeries scheduling recommendations from consultations including imaging follow-ups and lab individual works closely with patients physicians and OR Staff to provide accurate timely and responsive paperwork.

DESCRIPTION:
Duties and Responsibilities:
  • Coordinates schedules surgeries and creates follow-up appointments asdesignatedby physicians.
  • Coordinates andschedulesrecommendations according to consultations.
  • Sends outgoing referrals toappropriate facilities.
  • Interacts with patients physicians and other staff both within the clinic and at outside facilities providingaccuratetimely and responsive information.
  • Coordinates processes and routes all paperwork asrequiredto meet physician and facility requirements.
  • Completes pre-certification forms including ICD-10 codes CPT codes and demographics.
  • Ensures efficient telephone communication.
  • Documentswork processes asrequired including electronic and paper records.
  • Followsall written protocols and procedures of the clinic.
  • Demonstrates courtesy and helpfulness toward patients and their families.
  • Must be able to recognize and respond appropriately to urgent/emergent situations perprotocols.
  • Establish andmaintaineffective working relationships with physicians staff and management.
  • Books surgeries based on physician volumemaintainingappropriate standardturn-around times.
  • Identifiesscheduling barriers and implements solutions to improve scheduling results based on predetermined goals.
  • Follow established REI and surgery center/hospital precautions and procedures in the performance of all job duties to ensure a safe work to policies regarding safety confidentiality and HIPPA guidelines.

Qualifications:
  • A High School diploma or GED isrequired.
  • 1 years of Surgery Scheduling or related experience. Must be able to communicate effectively with physicians patients and the public and be capable ofestablishinggood working relationships with both internal and external customers.
  • Strong knowledge of ICD-10 and CPT coding.
  • Strong knowledge of clinical/medical practice operations procedures terminology and administrative procedures.
  • Must be flexibleand canmulti-task.
  • Proficient in computers and relevant software applications and practice management technology.
  • Ability to collaborate across departments and build effective relationships with internal and external customers to achieve goals.
  • Possession of strong problem-solving skills and sound judgment
  • Ability to achieve team goals whiledemonstratingorganizational values andutilizingresources responsibly.
  • Ability to be proactive and take initiative.
  • Exhibita high levelof quality through attention to detail and monitoring of work.
  • Possession of strong organizational skills.
  • Excellent verbal and written communication as well as exceptional interpersonal communication skills.
  • Ability to work independently on assignee tasks as well as to accept direction on given assignments.
  • Deals with confidential information and/or issues using discretion and judgment.
  • Prior Surgery Scheduling experience in a hospital setting
Work Environment & Physical Demands:
  • Work is performed in a clinic and office able to sit stand and walk forlong periods. The ability to accurately type write and use general office equipment is necessary. Extensive telephone communication isrequired. A fast-paced clinic must be able to multitask andkeepa high levelof organization.
