Job Summary

Description

Under the direction of the Permit Technician Manager this position is responsible for scheduling inspections for residential and commercial permits. Routing incoming calls to the proper inspector or department for further handling. Assigning plan review of residential home improvement projects. This position is responsible for responding to the public and contractors by telephone or by e-mail and occasionally in person regarding the permit process imaged documents and other informational requests.

  • Schedule move and/or cancel residential and commercial inspections with the appropriate inspector correct time frame and most efficient location on the schedule while verifying any additional notes or complexities of the inspection or address
  • Receives incoming residential alteration/remodel/repair plans review submittals and applications performs a cursory review for completeness and either assigns to an inspector or requests further information
  • Process and submit the monthly Surcharge Report
  • Receives and routes miscellaneous incoming calls
  • Collect and order team apparel for the department and updates Team Apparel Spreadsheet
  • Returns calls on inbox and returns calls on General mailbox backup
  • Ensure annual maintenance of Disaster Preparedness Kit(s) by updating contents electronic files supplies and information update READY sticker
  • Assist with providing information by phone or email and occasionally in person when required as the Scheduling line allows regarding general requirements of the permit process. Assists the permit applicant register for a user account and apply for a permit
  • Archives or purge paper files and/or electronic files on an annual basis per the Records Retention Act
  • Process Purchase Order backup
  • Perform other duties as assigned

Knowledge Skills and Abilities

  • Thorough knowledge of office practices and procedures
  • Knowledge of the building permit process including state and city codes ordinances policies and procedures
  • Knowledge of record management and record retention policies
  • High level of customer service skills
  • Skill and proficiency in the operation of computer software (Microsoft Office and IMS)
  • Ability to perform intermediate level clerical work requiring concentration organization and judgment in interpreting practices and procedures
  • Ability to communicate confidently and effectively with contractors homeowners members of the public and other staff in person by e-mail and on telephone
  • Ability to develop and maintain effective working relationships with customers coworkers and supervisors
  • Ability to efficiently perform and organize work tasks under deadline pressures

Supplemental Information

Minimum Requirements

  • High school diploma or GED equivalent
  • One year of experience with a municipality preferably within the Building Inspections department
  • One year of clerical secretarial or administrative experience
  • One year of computer experience including Word Excel and Microsoft Windows
  • One year of customer service experience/working with the public

Desirable Requirements
  • Associates degree in business or office administration or related field
  • Current Permit Technician Certification or certification within 9 months of employment
  • Microsoft Office Certification in Word and/or Excel
  • One year adobe acrobat experience

Physical Requirements
  • Positions in this class typically require: reaching standing walking finger dexterity grasping feeling talking hearing seeing and repetitive motions.
  • Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift carry push pull or otherwise move objects. Sedentary work involves sitting most of the time. Walking and standing are required only occasionally.
