The NC Department of Adult Correction is one of the largest state agencies with more than 14000 employees. It is responsible for safeguarding and preserving lives and property through prevention protection and preparation as well as the care custody and supervision of all adults sentenced for violating North Carolina laws. This department includes state prisons with custody healthcare and facility operations staff as well as probation/parole officers who supervised sentenced people in the community. Description of Work
Positions in this class are characterized by their performance of a variety of administrative clerical and office support duties. Positions require knowledge of the office or work unit policies and procedures in order to communicate information involving programs functions and services. Duties performed may include preparation of documents and reports composition of memos and letters the use of office technology compiling records organizing and maintaining files posting information greeting referring assisting visitors clients staff and others mail distribution and photocopying. Positions may serve as the primary staff assistant to a department or program manager. Positions may serve as an office coordinator for a work unit. Positions require knowledge of the work unit policies and procedures as well as state and federal general statutes in order to communicate information involving programs functions and services.Knowledge Skills and Abilities/Management Preferences
This position reports to the Associate Warden of Custody.
Job responsibilities include the following:
Maintaining a calendar of required periodic reports and ensures the reports are submitted accurately and timely.
Maintaining and updating manuals directories and files as needed.
Corresponding both written and verbal this includes composing documents and correspondence from rough drafts and independently; processing incoming and outgoing mail for the Associate Wardens; responding verbally to phone calls from employees government officials and the general public.
Filing and maintaining records including sensitive and confidential data.
Creating and maintaining spreadsheets and/or databases to monitor and track facility data.
Serving as first point of telephone contact for calls to the Associate Wardens and serves as facility backup to the switchboard operator providing coverage during the operators lunch break and absences from work.
Reviewing offender publications to ensure compliance with NCDPS Publications policy.
Drafting denial of publication notices to offenders as needed and monitors appeal requests to the Correspondence Review Board.
Recording meeting minutes as necessary.
Assisting with special projects providing assistance to other staff as deemed necessary and appropriate by management and will have offender contact.
This is a full-time position (40 hours per week) withState Benefits.

The salary grade for this position isNC02 Salary Range: $31200 - $49340. State employees are encouraged to apply for positions of interest even if the salary grade is the same as or lower than their current position. If selected for this position a new salary will be recalculated taking into consideration the quantity of relevant education and experience funding availability and internal equity. Based upon these factors a pay increase MAY result.
About Granville Correctional Institution:
Granville Correctional Institution houses offenders in both single cells and dormitories. When the facility opened in 1997 its main mission was to process newly-admitted youthful offenders between the ages of 19 and 21. The prison also houses offenders that participate in job assignments and other programs. It is a close-custody prison but it is also approved to house offenders assigned to maximum control intensive control disciplinary segregation and safekeeping status.
The prisons high-security maximum control unit (HCON) opened in October 1998. This high-security concept in correctional design is intended for the states most violent and assaultive offenders. The Supermax (HCON) unit in Butner was the first of its kind in North Carolina.
Due to the demand of prison space in 2003 the facilitys age criteria for offenders changed from 18-21 to 19-25. In October 2005 the facility changed its name from Polk Youth Institution to Polk Correctional Institution to reflect this older population including the HCON unit.
Polk Correctional Institution officially opened November 15 1997 when offenders were transferred to the new facility. The new prison in Butner replaced an old unit on Blue Ridge Road in Raleigh. The original Polk facility acquired its name in 1920 from Col. William Polk a decorated officer in the Revolutionary War. It was built on the grounds of Camp Polk a U.S. Army tank base during World War I. Initially inmates farmed the site. On Oct. 4 2021 the facilitys name was changed to Granville Correctional Institution.
Management Preferences:
Effective July 1 2025 candidates now meet the minimum qualifications of a position if they have the minimum education and experience listed from the class specification. The knowledge skills and abilities listed in the vacancy announcement should be used as management preferences and be used to screen for the most qualified pool of applicants.
Documented experience of clerical/secretarial skills.
Documented proficiency with Microsoft Word and Excel.
